Legal Billing Specialist

 Busy estate planning and trust administration practice in Los Altos has an immediate opening for a full-time onsite legal billing and accounts receivable specialist. We are looking for a dedicated individual who is highly motivated, a self-starter, detail oriented, a team player and projects a positive attitude.

The ideal candidate will have experience with all aspects of law firm billing processes and will be responsible for the following:

  • Editing timekeepers’ daily entry details and processing matter activity into accurate bills on a timely basis
  • Preparing, reviewing, and editing pre-bills including supporting documentation
  • Preparing and processing monthly billing in a consistent and timely manner
  • Preparing and processing final bills and closure of client matters at end of engagement
  • Processing and applying client payments and retainers
  • Identifying, researching, and resolving client billing issues
  • Analyzing and preparing various billing and collection reports
  • Analyzing and preparing various timekeeper billable hours and performance reports
  • Assisting with collections and resolution of accounts receivable issues
  • Performing thorough review of all new and amended legal engagements to ensure billing compliance and that matters are properly set up
  • Accurately maintaining client/matter database including updates to client names, addresses, timekeeper designations, budgets, billing notes and retainers


  • Knowledge of PCLaw/Time Matters billing system or comparable legal billing program a plus
  • Ability to communicate effectively with clients and staff
  • Meticulous attention to detail
  • Ability to multitask, manage workload in a consistent and timely manner, and track and meet deadlines
  • Ability to work as part of a collaborative team
  • Proficiency with Microsoft Office Suite (Word, Excel, Office, Publisher)
  • Prior law firm experience preferred
  • Bachelor’s Degree in Accounting, Business, or related degree preferred
