Job Title: Executive Assistant to COO

Location: San Francisco, CA

Salary Range: $180,000–$200,000 base + equity

Hours: Monday–Friday, primarily in-office (flexibility required)

We are partnering with a fast-paced, high-growth software development company to identify a highly organized, proactive Executive Assistant to support the COO. This is a critical, high-visibility role requiring exceptional judgment, discretion, and the ability to anticipate needs in a dynamic, performance-driven environment.

Key Responsibilities

Executive Support & Strategic Partnership

  • Manage complex and ever-evolving calendars for the COO and leadership team, balancing shifting priorities with precision.
  • Act as a strategic gatekeeper, prioritizing high-volume communications and ensuring alignment with business objectives.
  • Draft, review, and send polished correspondence on behalf of the COO, including early-morning responsiveness as needed.

Operations & Cross-Functional Coordination

  • Coordinate domestic travel arrangements and detailed logistical planning.
  • Support leadership meetings, board interactions, and private equity stakeholder communications.
  • Track operational pipelines, drive follow-ups, and ensure seamless execution across engineering and business teams.
  • Anticipate conflicts, deconflict scheduling challenges, and proactively resolve issues before escalation.

Team & Organizational Support

  • Facilitate cross-functional scheduling and collaboration in a highly technical environment.
  • Maintain structure and organization amid rapid growth and evolving processes.
  • Contribute to a high-performance, solutions-oriented culture that values initiative and adaptability.

Qualifications

  • Significant experience supporting C-level executives; experience in software development, technology, or private equity-backed environments strongly preferred.
  • Exceptional written and verbal communication skills with impeccable professional judgment.
  • Highly organized with strong attention to detail and the ability to manage competing priorities.
  • Proven ability to operate independently, think ahead, and exercise sound judgment.
  • Experience thriving in fast-paced, high-growth environments with ambiguity.
  • Team-player mindset with a proactive, solutions-driven approach.

Technical Skills

  • Proficiency in Google Workspace, Slack, and Notion.
  • Experience with Figma preferred.

Work Environment & Expectations

  • Early start times required (first emails by approximately 7:00 AM when needed).
  • Generally no weekend work, though occasional email monitoring is expected.
  • In-office presence most days; flexibility required based on business needs.
