Overview

We're looking for a highly organized and proactive Office & Operations Manager to oversee day-to-day operations, improve internal processes, and support a growing team. This role requires someone who thrives in a fast-paced environment, can juggle multiple priorities, and takes ownership with precision and professionalism.

Key Responsibilities

  1. Financial Operations & Reporting

  • Invoicing & Accounts Receivable: Manage client billing, process payments, and maintain accurate financial records using QuickBooks
  • Expense Tracking & Analysis: Monitor and categorize expenses; build and maintain Excel-based reports for budgeting and insights
  • Financial Oversight: Ensure accuracy, consistency, and timeliness in all financial documentation

  1. Travel Coordination

  • Travel Coordination: Plan and book travel for executives and teams, handling changes and challenges with a solutions-first mindset

  1. Office Operations & Process Improvement

  • Operational Efficiency: Manage office logistics and continuously identify opportunities to streamline systems and workflows
  • Vendor Management: Maintain relationships with vendors and service providers, ensuring cost-effective purchasing and reliable service
  • Cross-Team Support: Act as a central point of coordination to keep operations running smoothly across the organization

What We're Looking For

  • Strong experience with QuickBooks (invoicing, payments, financial tracking)
  • Advanced proficiency in Excel (reporting, analysis, budgeting)
  • Exceptional organizational and multitasking skills with high attention to detail
  • A resourceful problem-solver who takes initiative and ownership
  • Ability to operate both strategically and hands-on
  • Excellent communication and interpersonal skills
