Position Summary

The Administrative Services Coordinator oversees the daily operations of the Mission YMCA Branch and supports the Associate Executive Director in providing support and services to program members and participants and communications and administrative supports. This role includes closing shifts at our front desk, greeting members, and assisting in program enrollment, some grant administration, supporting food pantry program and other related support to bi-lingual and mono-lingual program parents and participants. This role can include occasional informational workshops and community outreach activities, community events, as well as conducting regular check-ins with participants and clients. Key responsibilities involve membership desk duties, supporting program participants, ensuring adherence to grant requirements, and supporting branch administration and communications. Based on feedback, the coordinator will implement improvements to better address community and branch needs.

In addition, the Administrative Services Coordinator serves as an advocate and resource for low-income families and the broader community. As a member of the Misison YMCA's full-time team, the coordinator also participates in the Annual Giving Campaign, branch events, and community outreach activities to promote and advance the YMCA's mission.

Job Responsibilities

Program Management:

  • Membership desk responsibilities include opening Mission YMCA, oversight of facilities, registration and support for families and participants.
  • Supporting weekly food pantry. Registration for food related programs.
  • Supporting program administration, registration, and support.
  • Collaborate with YMCA staff and community members to align activities with community needs.
Community Engagement and Resource Connection:
  • Build relationships with members, guests, and partner organizations.
Leadership and Policy Adherence:
  • Address participant concerns promptly and professionally.
  • Ensure adherence to YMCA policies on safety, supervision, and risk management.
Work Environment & Physical Demands

This role is based in a community-focused setting that includes YMCA facilities, community centers, and outreach locations. It involves working collaboratively with staff, volunteers, community members, and partner organizations. The role requires adaptability to a mix of environments, including office spaces for planning and administrative tasks, event venues, and public spaces for community engagement. Regular responsibilities include communicating with members and participants, participating in meetings, and supporting outreach initiatives.

The position requires a combination of physical activity and desk-based work. Physical demands include:
  • Standing and walking during programs or outreach activities.
  • Lifting and moving of materials or equipment (e.g., boxes for food distribution), typically weighing up to 25 pounds.
  • Preparing and resetting spaces for program activities or meetings, including arranging furniture or equipment.
  • Regular verbal and written communication requiring clear speech and active listening.
  • Using computers and other office tools for tasks like planning, reporting, and correspondence.

Salary Description

The Administrative Services Coordinator position offers a compensation range of $24.00 - $28.00 per hour. This rate is based on salary benchmarking for similar roles and is aligned with grant fund approvals and requirements for the position.

Qualifications
  • Must be at least 21 years old
  • High school diploma or AA degree or equivalent
  • Availability required on weekdays during program hours, occasional weekend events
  • At least 2 years of experience working with youth and families.
  • Proficiency in reading, writing, and communicating effectively in Spanish and English
  • Strong skills in leadership development, planning, communication, and staff supervision.
  • Must be self-motivated, proactive, dependable, and highly organized.
  • Ability to multitask and effectively resolve conflicts in a timely manner.
Preferred Qualifications (Optional)
  • Bachelor's degree in a related field or equivalent qualification.
  • Prior supervisory experience
  • Experience working with the Mission YMCA or the greater YMCA of San Francisco communities.
