Description:

One of The Sage Group's clients is looking for an Events Coordinator with AV experience. The client is a leading cloud-native, low-code/no-code iPaaS (Integration Platform as a Service) designed for enterprise-grade automation. It enables companies to connect applications and automate workflows using AI and pre-built connectors without requiring extensive coding. It serves IT, HR, finance, and marketing teams to streamline operations.

Duration: through January 2027 to start with potential extension and contract to hire

Location: Hybrid to San Francisco CA, can be remote except for events

Compensation: $30hr -45hr

About the Role

We are looking for a dynamic Technical Event Coordinator to join our team. This role sits at the intersection of live event logistics and seamless technical production. You will be responsible for ensuring our physical and hybrid events run flawlessly, acting as the primary line of defense for all A/V and platform-related execution. You will bridge the gap between our internal tech stack (including Asana, Luma, Salesforce, and Marketo) and the live event experience, ensuring every presentation, demo, and broadcast is executed to the highest standard.

Event Logistics & Operational Support

? Own the intake and response for all inbound event requests, such as sponsorships, speaking opportunities, and partnerships.

? Evaluate inbound requests against internal criteria and escalate recommendations to the Event Lead.

? Schedule follow-up meetings and calls with internal stakeholders and external partners, tracking requests, decisions, and next steps in Asana.

? Support the planning and execution of in-person and virtual events, including meetups, partner events, and hosted programs.

? Assist with venue coordination, calendars, room bookings, catering orders, and onsite logistics.

? Manage event timelines, task lists, and run-of-show details to ensure nothing slips through the cracks.

? Support event-day execution, including setup, registration, and general coordination.

? Research and help identify potential speakers, community partners, and event collaborators.

? Support outbound outreach to speakers and partners, including coordination of availability and logistics.

? Help maintain a growing database of speakers, partners, and community contacts.

? Keep event documentation, trackers, and workflows organized and up to date.

? Manage and track swag inventory, proactively flagging low stock levels.

? Support post-event follow-ups, notes, and internal reporting in partnership with the Event Lead and broader marketing team.

? Seamless production and hands-on technical execution.

? Live A/V Mastery: Confidently operates and troubleshoots physical event hardware, including audio mixing boards, laptops for demos, and multi-camera setups.

? Show-Ready Configuration: Possesses the technical intuition to properly configure, tether, and optimize laptops and presentation displays for "show mode" execution.

? Hybrid Architecture: Capability to manage technical run-of-shows that bridge in-person audiences with live virtual participants (e.g., Zoom integrations, multi-timezone broadcasting).

? Rapid Troubleshooting: Exhibits a calm, solution-oriented mindset under pressure, capable of instantly diagnosing and ideally also fixing equipment or software failures.

? Vendor Orchestration: Effectively communicates with and manages external A/V vendors to ensure outsourced gear seamlessly integrates with our internal systems.

? Platform Fluency: Deeply familiar with the backend technical settings of virtual event platforms (like Luma, Zoom Webinars, etc.) to optimize video encoding and audio routing.

Qualifications

? Bachelor's Degree (BA/BS) or equivalent practical experience.

? 2-4 years of professional experience in event production, A/V coordination, or technical event management.

? Proven background working on live events, hybrid broadcasts, or in a highly fast-paced, quick-thinking operational environment where troubleshooting is required.

? Hands-on experience operating A/V equipment (mixing boards, displays, multi-camera setups) and deep familiarity with virtual event platforms (Zoom Webinars, Luma, etc.).
