Job Title: Executive Administrative Assistant

Location: San Francisco, CA (Hybrid)

Salary Range: $85,000 – $100,000

Hours: 8:30 AM – 5:30 PM

Our client, a leading global investment firm, is seeking a highly motivated Executive Administrative Assistant to support a dynamic team in their San Francisco office. This role is ideal for a polished, detail-oriented professional who thrives in a fast-paced, collaborative environment and is passionate about delivering high-level administrative support.

Key Responsibilities

Executive & Team Support

  • Provide executive administrative support to San Francisco-based team members.
  • Manage complex calendars and scheduling across multiple stakeholders.
  • Coordinate virtual and in-person meetings.

Travel & Expense Management

  • Arrange and manage domestic and international travel.
  • Prepare and submit expense reports and provide platform support.

Client & Meeting Coordination

  • Prepare high-volume client materials including printing, binding, and shipping presentations.
  • Coordinate catering for onsite client meetings.
  • Manage visitor requests and reception coverage as needed.

Office & Team Operations

  • Support general administrative needs of the San Francisco office.
  • Coordinate off-site team events and social gatherings.
  • Assist with annual holiday cards and client gift distributions.
  • Provide backup support to other administrative team members.

Special Projects

  • Support podcast logistics in partnership with the Marketing team.

Qualifications

  • Bachelor's degree required.
  • Strong attention to detail with a high level of organization.
  • Intermediate to advanced proficiency in Microsoft Office and Outlook.
  • Professional demeanor with excellent communication skills.
  • Proven ability to multitask and prioritize a heavy workload.
  • Team-oriented with the ability to work independently.
  • Flexible, proactive, and able to meet deadlines in a fast-paced environment.
  • Comfortable collaborating across global teams and time zones.
  • Legally authorized to work in the United States.
