Personal/Executive Assistant

Description:

We are seeking a highly skilled, proactive, and discreet Part-Time Personal Assistant/Executive Assistant to support a senior executive with extensive responsibilities across multiple public boards, family needs, and household management. This is a unique opportunity to work closely with a dynamic leader, managing both high-level professional responsibilities and personal priorities. The role offers variety, autonomy, and exposure to complex board and executive-level operations, and it requires discretion, strategic thinking, and initiative.

Estimated at 20-25 hours per week (hours could vary).

Responsibilities

  • Manage scheduling across two public boards, coordinating complex domestic and international engagements.
  • Coordination for an internationally listed board, ensuring compliance with U.S. and Japan communication and file-sharing standards while creatively and securely managing the transfer of sensitive materials across platforms.
  • Handle executive's master calendar, working with other Executive Assistants, as needed.
  • Arrange and support travel for business and family, including private jets, cars, catering, and using travel services.
  • Support travel for family members living domestically and abroad.
  • Oversee multiple residences, including active renovations, maintenance, and project coordination.
  • Manage a robust social and philanthropic calendar with discretion.
  • Handle stock filings, credit card access, expense reporting, and other personal administrative tasks.
  • Draft, review, and send communications to high-profile recipients (e.g., political leaders, senior executives) with extreme discretion.
  • Maintain the highest level of discretion, with strong judgment on what information to share or withhold across multiple business and personal contexts.
  • Additional responsibilities as requested.

Qualifications

  • Senior-level support experience in large, global companies, ideally in tech, semiconductors, or public boards.
  • Able to anticipate needs, prioritize tasks, and operate independently while placing requests in a strategic context.
  • Understands the sensitivity of working across multiple public company boards and handles confidential information with absolute discretion.
  • Highly proficient in Gmail, with excellent written and verbal communication skills; comfortable using text, call, and email for professional coordination.
  • Bay Area location preferred (for household and in-person support), or Austin, TX a secondary priority.
