Description:

Overview

  • Support daily office operations for a fast-paced refrigeration service company
  • Coordinate between customers, technicians, and internal team
  • Ensure smooth scheduling, communication, and billing processes

Key Responsibilities

Customer Communication

  • Answer phones, emails, and service requests
  • Provide updates on job status, scheduling, and timelines
  • Handle basic customer inquiries and route issues appropriately
  • Onboard new customers

Assist with Dispatch & Scheduling

  • Schedule service calls based on urgency, location, and technician availability
  • Coordinate technician routes to improve efficiency
  • Adjust schedules in real time as priorities change

Invoicing & Admin

  • Prepare and send invoices accurately and on time
  • Review work orders for completeness before billing
  • Assist with data entry, job tracking, and record keeping

Qualifications

  • 1–3 years in office admin, dispatch, or customer service
  • Strong organization and multitasking skills
  • Clear and professional communication
  • Comfortable with scheduling software and basic office tools
  • Experience in HVAC, refrigeration, or service industry (preferred)
