TeleSolv Consulting is seeking a Secretary/Admin Assistant Level II to support a federal client in the San Francisco, CA area.

The qualified candidate shall have Advanced knowledge and proficiency in Microsoft Office products, including Word, Access, intermediate Excel, and PowerPoint. Excellent communication skills (both written and verbal) with the ability to prepare and make group/executive presentations. Excellent presentation skills. Strong analytical skills.

Ability to conduct online research. Resourcefulness, initiative and skill to function in a fast-paced environment. Attention to detail in goal/task accomplishment with minimal supervision. Professionalism and the ability to interact effectively with others. Ability to meet planned and unscheduled deadlines in a timely manner. Able to work independently. All candidate's will be required to undergo a background suitability clearance.

Responsibilities:

  • Perform general administrative and secretarial duties, including clerical tasks as assigned
  • Serve as front-desk reception support by greeting visitors and directing them appropriately
  • Answer and route phone calls and emails in a timely and professional manner
  • Schedule appointments, meetings, interviews, and teleconferences; prepare meeting materials and record minutes
  • Manage and maintain office calendars, including leadership schedules
  • Prepare routine correspondence and reports
  • Maintain personnel files, time and attendance records, and other administrative documentation
  • Organize, file, and manage both electronic and paper records
  • Receive, sort, and distribute incoming mail; prepare outgoing and express mail
  • Maintain office databases and shared drives; run reports as required
  • Assist with timekeeping systems and provide attendance reports to management
  • Track case numbers, inspections, reports, and other assigned program data
  • Maintain inventory records for office supplies, equipment, and government property
  • Compile and distribute routine reports and spreadsheets as directed
  • Support security, facility, and operational programs through administrative assistance
  • Assist management and program staff with documentation, tracking, and daily tasking updates
  • Perform additional administrative duties as assigned

Qualifications:

  • Must be a U.S. Citizen
  • High school diploma with at least one (1) year of relevant experience, or two (2) years of relevant experience in lieu of a diploma
  • Proficient with Microsoft Windows–based operating systems
  • Strong working knowledge of Microsoft Office applications, including Word, Excel, Access, and Outlook
  • Experience using standard office equipment such as scanners, printers, and copiers
  • Ability to type accurately with strong attention to detail
  • Demonstrated ability to compile, organize, and maintain reports and documentation

Background Investigation:

This position requires that you obtain a background investigation. As part of this process, the government will perform a criminal, credit, tax, employment, and drug history background check. The government has varying tolerances, with mitigating circumstances, for issues in all of the categories. The government is essentially looking to confirm that you are generally in good financial standing, up to date on your tax filings, rehire eligible with your prior employers, and have adhered to any federal restrictions on illegal drug use, including marijuana, in addition to other checks related on your character and trust worthiness.
