Facilities Coordinator

Schedule: Onsite | MondayFriday, 8:30 AM5:30 PM
Position Overview
The Facilities Coordinator provides day-to-day administrative and operational support to the Facilities and Property Services team during a leave-of-absence coverage period. This role plays a critical part in maintaining continuity of services by managing work orders, coordinating vendors, supporting invoice processing, and serving as a key point of contact for facilities-related requests. The ideal candidate is highly organized, responsive, and comfortable managing a high volume of operational tasks in an onsite environment.
Key Responsibilities
- Manage, track, and follow up on work orders, ensuring timely completion and clear communication with tenants and internal stakeholders
- Coordinate with vendors and service providers, confirming scope of work and following up on service completion
- Perform invoice coding and support accounts payable processes related to facilities services
- Serve as a primary point of contact for facilities-related inquiries, requests, and issue resolution
- Maintain accurate records, logs, and documentation related to work orders, services, and expenses
- Support the Property Manager and Facilities team with daily operational and administrative tasks
- Prioritize and manage multiple requests to ensure smooth facility operations across the portfolio
Required Qualifications
- High School Diploma or equivalent experience
- 2+ years of experience in administrative support, facilities coordination, or property management
- Experience working with work order systems, including tracking, routing, and follow-up
- Experience with invoice coding and accounts payable support
- Proven ability to coordinate vendors and follow up on service completion
- Strong organizational skills with the ability to manage high-volume requests
- Proficiency in Microsoft Office and database systems
- Strong communication skills to effectively interact with tenants, vendors, and internal teams
- Ability to work onsite and support daily office operations
Preferred Qualifications
- Experience in a healthcare, commercial property, or facilities environment
- Prior experience supporting a Property Manager or Facilities team
- Familiarity with preventive maintenance or facilities service workflows
- Experience maintaining reports, tracking logs, or service metrics
- Basic knowledge of facilities compliance or regulatory standards
Pay Details: $25.00 to $28.00 per hour
