Description:

Our client, a global consumer-focused private equity firm, is seeking a highly organized and proactive Executive Assistant to provide "white glove" support to 1-2 Managing Directors. The Executive Assistant role is a critical partner to senior leadership and plays an integral part in ensuring the seamless day-to-day operations. This individual will act as a strategic gatekeeper, managing complex scheduling, coordinating global travel, and anticipating the needs of executives in a high-performance environment. The ideal candidate will possess exceptional organizational skills, sound judgment, and a high level of discretion, with the ability to manage multiple priorities simultaneously in a fast-paced environment.

Please note this is an onsite, temp-to-perm role based in Larkspur, CA. Pay will be $115k-$130k/yr.

Key Responsibilities:

  • Manage complex calendars, including scheduling across multiple time zones
  • Coordinate detailed domestic and international travel arrangements, including real-time adjustments as needed
  • Serve as a gatekeeper for executives across phone, email, and in-person interactions
  • Handle sensitive and confidential information with the highest level of discretion
  • Prepare and manage expense reports monthly
  • Maintain accurate contact records and CRM updates (e.g., Salesforce)
  • Coordinate client meetings, including conference room booking, catering, and preparation of materials
  • Support internal requests via ticketing systems (e.g., Monday.com)
  • Create, proofread, and edit documents, presentations, and spreadsheets
  • Assist with administrative tasks such as filing, printing, and preparing meeting packets
  • Provide occasional personal and logistical support (e.g., errands, lunch pickup, returns)
  • Offer backup support to administrative team members and reception as needed
  • Assist with team projects and event planning initiatives
  • Greeting guests and managing deliveries
  • Supporting kitchen operations (stocking supplies, ordering meals, maintaining cleanliness)
  • Assisting with general office upkeep when needed

Qualifications:

  • 4+ years' experience as an Executive Assistant, with a background in supporting senior-level executives.
  • Strong organizational skills with exceptional attention to detail
  • Professional, articulate, and adaptable demeanor
  • Ability to multitask and prioritize in a fast-paced environment
  • Strong interpersonal skills and a team-first mindset
  • Proficiency in Microsoft Office Suite and Zoom
  • Experience with Salesforce, PowerPoint, and Concur is a plus
