TeleSolv Consulting has a Secretary/Admin Asst level II position with their Federal client in the San Francisco, CA area. This position will be with a Federal law enforcement agency within DHS (Dept of Homeland Security).

The qualified candidate shall provide administrative support to regional and headquarters offices within a Federal program, assisting in managing multiple executive calendars (District and Area Commander calendars), scheduling meetings, and preparing meeting materials and minutes among other responsibilities.

Key Responsibilities:

  • Managing multiple executive calendars (District and Area Commanders), scheduling meetings, and preparing meeting materials and minutes.
  • Providing reception and front-office support—greeting visitors, answering phones and emails, and routing inquiries to appropriate personnel.
  • Composing correspondence, drafting and editing official letters, memoranda, and reports using Microsoft Word, Excel, and Outlook.
  • Maintaining personnel files, time and attendance records, and preparing daily attendance reports using GovTA.
  • Creating, organizing, and maintaining electronic and hard-copy filing systems, including records related to budgets, personnel actions, and operational reports.
  • Supporting the Protective Security Officer (PSO) program by entering inspection data, prohibited-item reports, and case-control numbers into government system.
  • Collecting and compiling Government-Owned Vehicle mileage and maintenance reports; maintaining monthly fleet logs.
  • Assisting with post inspections, training file updates, and tracking audits, covert testing, and supply inventories.
  • Coordinating mail processing, courier shipments, and procurement of office supplies.
  • Maintaining shared drives and data folders for committee memos and other operational documents.
  • Supporting management in preparing reports, maintaining databases, and assisting in the preparation of security-related contract documentation.
  • Performing other administrative and clerical tasks as assigned to ensure continuous mission support.

Required Skills:

  • Must be a current US Citizen
  • Must be able to obtain and maintain a Public Trust level of clearance and associated background check
  • Prior knowledge of federal office procedures highly preferred
  • Advanced knowledge and proficiency in Microsoft Word & Access
  • Intermediate knowledge and proficiency in Microsoft Excel and PowerPoint.
  • Excellent communication skills (both written and verbal) with the ability to prepare and make group/executive presentations
  • 2+ years of secretarial/administrative support experience including creating travel plans, scheduling meetings, managing executive calendars, and other support duties previously mentioned in the "Key Responsibilities" section of this job

Background Investigation:

This position requires that you obtain a background investigation. As part of this process, the government will perform a criminal, credit, tax, employment, and drug history background check. The government has varying tolerances, with mitigating circumstances, for issues in all of the categories. The government is essentially looking to confirm that you are generally in good financial standing, up to date on your tax filings, rehire eligible with your prior employers, and have adhered to any federal restrictions on illegal drug use, including marijuana, in addition to other checks related on your character and trust worthiness.
