Location: San Francisco (Hybrid)

Salary: $95,000 - $115,000 annually (based on experience) + bonus program

Role Overview:

We are seeking a motivated, detail-oriented Executive Assistant and HQ Associate to support our executive team and events initiatives. This hybrid role blends high-level administrative support with hands-on event support. The ideal candidate is highly organized, proactive, and excels in fast-paced environments. This is a unique opportunity to gain experience across executive support, sales operations, and marketing events, with opportunities for national travel.

Executive Assistant and HQ Associate Duties and Responsibilities:

Executive & Administrative Support

  • Manage day-to-day of the COO's office, which may include other executives/advisors.
  • Maintain calendar; arrange meetings, appointments, receptions, and conference calls; provide reminders.
  • Act as the primary point of contact between executives and internal/external clients, prospects, and investors.
  • Coordinate and attend certain offsite meetings, special events, and conferences.
  • Arrange, prepare, and review materials and correspondence for meetings.
  • Coordinate travel arrangements; prepare and distribute schedules/agendas for travel.
  • Process and follow-up on Virtual Requests.
  • Assist in office management, general administration, office assignments for bankers at HQ and other logistical support.
  • Overall tech supervision and IT support for systems integration.

Corporate Development / Deal Support

  • Participate on calls and meetings with C-level prospects (including CFOs, CEOs, investment partners, PEGs, banks, hedge funds); take meeting note summaries and follow up on action items as needed.
  • Assist and support cross-functionally; act as a liaison across departments (investment teams, marketing, operations/legal, etc.).
  • Support client/prospect and investor/vendor relationships, including interfacing, client care, and attending meetings with clients/investors.
  • Assist in all phases of business marketing and PR for Corporate and investment programs.
  • Origination of new business, including new prospect lead generation from events and other initiatives
  • Initiate, support, and develop business developmentprojects.
  • Manage LinkedIn, Salesforce, and other enterprise marketing systems for COO's office and other key parties.

Events & Event Management

  • Collaborate with cross-functional teams to plan and execute marketing events, including trade shows, conferences, product launches, webinars, workshops, and other promotional activities.
  • Develop and support USCP's event participation and event management.
  • Develop and support house-originated sponsors, including negotiating with sponsors for events
  • Arrange, attend, and represent the company at local and national seminars and events.
  • Liaise with event vendors, venues, caterers, and other suppliers to negotiate contracts, secure services, and manage logistics.
  • Develop and execute marketing campaigns and promotions to generate interest and attendance at events, leveraging both online and offline channels.
  • Coordinate all event logistics, such as transportation, signage, promotional materials, and on-site staff requirements.
  • Collaborate with the creative team to develop event materials, presentations, and collateral that align with the company's branding and messaging.
  • Manage event registration, ensure a smooth check-in process, and monitor the overall attendee experience to maximize satisfaction.
  • Analyze the success of events through key performance indicators, gather feedback, and make recommendations for continuous improvement.

Ad-Hoc & General

  • Assist in ad-hoc reports and special projects as needed.
  • Any other related duties, as may be required from time to time.

Qualifications:

  • Bachelor's degree in Marketing, Communications, Business, or a related field.
  • Proven experience in event planning and executive assistance.
  • Strong project management and organizational skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in event management software and marketing tools.
  • Creative thinking and problem-solving skills.
  • Ability to work under pressure and meet tight deadlines.
  • Flexibility to work evenings and weekends as required for events.
  • Travel is required for this role.
