Position Overview

This role is a hybrid of executive and personal support focused on executive assistance (calendar, communication, coordination) and on personal/lifestyle support (errands, travel, ad hoc requests, and household coordination).

The Executive Personal Assistant will manage a constant flow of requests ranging from complex travel logistics and scheduling to administrative oversight and highly personalized support.

The ideal candidate is highly organized, unflappable, and detail-driven, with the ability to pivot quickly, prioritize effectively, and operate with discretion at all times.

Key Responsibilities
Calendar & Communication
  • Manage complex calendars, appointments, and scheduling across multiple time zones
  • Coordinate meetings and maintain alignment with the principals' priorities
  • Anticipate scheduling conflicts and proactively resolve them
  • Monitor and manage email inboxes on behalf of the principals
  • Draft, proofread, and send professional correspondence
  • Track follow-ups and ensure timely execution of all action items
Travel, Events & Logistics
  • Coordinate detailed domestic and international travel (business and personal)
  • Book private and commercial flights, accommodations, and ground transportation
  • Prepare comprehensive travel documents and detailed itineraries
  • Ensure seamless execution of all travel plans, including last-minute adjustments
  • Book reservations, coordinate dining and events, and manage guest logistics
  • Collaborate with the Estate Manager to ensure homes are prepared for arrivals and departures
  • Potential to travel with the principals as needed
Administrative & Personal Support
  • Track deliveries, purchases, and ongoing household or personal commitments
  • Coordinate grocery and household provisioning across residences
  • Schedule personal appointments (medical, wellness, family commitments)
  • Handle reservations, entertainment, and lifestyle arrangements
  • Assist with personal errands, purchases, and last-minute requests
  • Act as a resourceful problem-solver for a wide variety of evolving needs
Household & Business Team Coordination
  • Partner closely with the Estate Manager to ensure alignment across all residences
  • Work collaboratively with the Chief of Staff and broader household team
  • Support communication between the CEO, staff, vendors, and external partners
  • Assist in maintaining smooth day-to-day operations across properties
Pet Care Oversight
  • A love for and comfort around dogs is a must, as they're a valued part of the home.
  • Provide hands-on support as needed
Ideal Candidate Profile
  • 2–5+ years of experience supporting a private principal, executive, or family office
  • Experience in a hybrid executive/personal assistant role strongly preferred
  • Exceptional organizational skills with a sharp attention to detail
  • Strong written and verbal communication skills
  • Highly tech-savvy (Google Workspace, Slack, Calendar Systems, Excel, etc.)
  • Able to work independently while managing multiple priorities with minimal oversight
  • Emotionally intelligent and confident working in a high-expectation environment
  • Calm under pressure with a resourceful, solutions-oriented mindset
  • Adaptable and comfortable in a fast-paced, ever-changing environment
  • Discreet, polished, and professional at all times
Schedule & Flexibility
  • Full-time position with flexibility based on the principals' needs
  • Availability outside of standard business hours as needed
  • Travel may be required
