Executive Assistant

LHH Recruitment Solutions is seeking an experienced Executive Assistant to provide high-level support to the Chief Executive Officer of a well-established mission-driven organization in San Francisco.

This role will serve as a trusted partner to executive leadership and will play an essential role in ensuring the CEO's schedule, communications, and priorities are managed effectively. The position requires exceptional organization, sound judgment, and the ability to operate with discretion while supporting a fast-moving executive environment.

The ideal candidate is proactive, detail-oriented, and comfortable interacting with senior leadership, board members, and external stakeholders.

Key Responsibilities
  • Manage the CEO's complex calendar and email communications, ensuring priorities are organized and time is used effectively
  • Provide administrative and operational support that enables the CEO to focus on strategic initiatives
  • Coordinate Board of Directors meetings, including scheduling, logistics, and preparation of materials
  • Support board committees and executive leadership meetings by preparing agendas, compiling documents, and capturing notes when needed
  • Plan and coordinate executive meetings, events, and travel arrangements
  • Prepare reports, presentations, correspondence, and other executive documents
  • Track follow-ups and maintain communication with internal and external stakeholders on behalf of the CEO
  • Serve as a liaison between executive leadership, staff, and outside partners
  • Anticipate needs and proactively manage shifting priorities for the CEO
  • Assist with special projects and initiatives as assigned
Qualifications
  • 5+ years of Executive Assistant experience, ideally supporting a CEO or C-level leader
  • Experience coordinating with boards of directors or executive leadership teams strongly preferred
  • Excellent organizational and multitasking skills with strong attention to detail
  • Ability to manage competing priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • High level of professionalism, discretion, and sound judgment when handling sensitive information
  • Ability to build relationships across teams and communicate with diverse stakeholders

Experience with the following tools is preferred:

  • Microsoft Office and Microsoft Teams
  • Concur
  • Yardi
  • Paycom
  • Expense management platforms
Work Environment
  • Hybrid schedule: MondayThursday onsite, Friday remote
  • Standard work hours begin around 8:309:00 AM, with occasional extended hours for executive or board sessions
  • Office located in San Francisco, within walking distance of BART
  • Business casual workplace
