Description:

The Receptionist/Administrative Assistant manages the front desk of a community-based residential care facility, and provides administrative support to Broderick St ARF staff and residents as needed by the program.

Essential Job Duties include, but are not limited to:
• Greets and assists staff members, visitors, and residents
• Answers multi-line telephone system and routes phone calls appropriately
• Immediate forwarding of all calls to the on-duty RN/LVN from any doctor/nurse/hospital; and forward calls to management/staff as appropriate
• Retrieves and forwards voicemail messages from general mailbox for staff; recording messages & announcements as needed/instructed
• Assists Nurse Manager with scheduling of resident appointments, and maintaining appointments on computer & transcribing to dry-erase board
• Receive and distribute all mail and packages (in care of counselors as appropriate)
• Keep all sign-in sheet logs filled and organized; support in any other procedures at front desk (e.g. check temperature, symptom checks during COVID 19 SIP)
• Inventory & maintaining/filling of all office supplies and janitorial supplies; Inventory & checking out of medical/CNA supplies, as requested/needed
• support overall front office administrative needs
• Manage cab vouchers and calling for cabs as requested/needed
• Assist with tidiness of reception & waiting areas, and organize magazines and newspapers
• Operate and maintain the copy machine, and assist staff with photocopying and faxing
• Organize files, accurately file documents, and mailboxes, work areas
• Other duties as assigned

Minimum Required Qualifications:
• Education: At least a High School diploma or GED equivalent
• At least 1 year of administrative, reception &/or clerical experience in an office setting
• Demonstrated knowledge, skills, and experience working with current office methods & procedures, and business communications in English
• Fulfillment of TB Test, fingerprinting, First Aid, CPR, and any other mandatory State/Federal requirements upon hire

Other Preferred Qualifications:
• Ability to work independently and establish priorities, ability to prioritize workflow within set of protocols and procedures, and ability to multi-task
• Knowledge of & experience working with standard office equipment such as photocopier, fax machine, and printers
• Demonstrated knowledge/experience with MS Office including Word, Excel, google doc and google email. Data entry and calendaring skills
• Exceptional reading and writing skills with the ability to understand, create, and interpret written instructions, and effectively communicate to staff, other health care team members, and clients
• Strong organizational skills; accuracy and attention to detail
• Strong commitment to the philosophy, goals, & mission of the organization, including providing culturally competent mental/behavioral healthcare services in a community setting
• Strong interpersonal skills and ability to work effectively, function independently, and interact professionally with a diverse, multi-cultural, and interdisciplinary staff of all levels
