Position: Part-Time Front Desk Administrator (Ongoing)

Location: Oakland, CA (onsite)

Initial Schedule: Monday–Friday, 2:00pm–6:00pm

About the Role

We are seeking a Front Desk Administrator to provide front-facing support and general support for our client. This role supports leadership and daily operations through a mix of resident interaction, documentation, and office coordination.

Key Responsibilities

• Provide front-facing customer service in a resident-facing lounge or common area

• Assist residents with day-to-day needs, including small transactions and service inquiries

• Support reconciliation of resident credits and discounts related to onsite services

• Provide basic spreadsheet support for leadership (Excel fundamentals; no advanced formulas)

• Enter and maintain information in internal systems

• Take notes and maintain documentation related to resident updates

• Assist with administrative tasks and special projects as assigned

Administrative & Executive Support

• Provide routine and non-routine administrative support to executive and management staff

• Gather information, compile data, and prepare reports or summaries as needed

• Schedule meetings, coordinate logistics, take minutes, and manage correspondence

• Prepare written materials outlining procedures or administrative processes

• Communicate with staff across departments to support reporting and coordination

• Maintain a high level of confidentiality and professionalism at all times

Additional Duties

• May assist with or oversee front desk or reception coverage

• Support functional areas such as operations, finance, marketing, or human resources as needed

• Perform duties safely and report any safety concerns to leadership

• Attend required meetings and follow established policies and procedures

Qualifications & Experience

• 3+ years of administrative experience preferred

• Strong customer service skills with a friendly, patient, and compassionate demeanor

• Comfortable working in a resident-focused or community-oriented environment

• Proficient in Microsoft Word and Excel (basic spreadsheets and data entry)

• Strong verbal and written communication skills

• Ability to organize information, solve practical problems, and adapt to changing needs

• Ability to interpret written and verbal instructions and follow established processes
