Overview

The Legal Secretary provides high-quality administrative and clerical support to a team of attorneys in a fast-paced legal environment. This role requires strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities while supporting daily legal, administrative, and client-related functions. This position based in San Francisco, CA.

Key Responsibilities

  • Prepare accurate, well-formatted correspondence, memoranda, and legal documents from handwritten drafts and transcription software

  • Prepare new case reports, conduct conflict checks, open new matters, and process check requests

  • Perform state and federal court filings, including mandatory e-filing

  • Create and maintain tables of contents and tables of authorities

  • Prepare government filings and closing materials, as appropriate to the attorneys' practice areas

  • Enter daily time records as directed by assigned attorneys

  • Prepare client billing, including reviewing and editing proformas, drafting cover letters, and distributing finalized invoices to clients and accounting

  • Organize, scan, copy, fax, and file legal documents in both physical files and electronic document management systems

  • Schedule depositions, hearings, and meetings, including coordinating court reporters, conference rooms, catering, and attorney calendars

  • Maintain multiple calendars and agendas to track deadlines and provide timely reminders

  • Answer and route incoming telephone calls; take detailed messages as needed

  • Coordinate attorney travel arrangements

  • Process expense reimbursements and vendor invoices

  • Maintain client lists, contact lists, and other electronic databases

  • Perform additional administrative duties as assigned
Knowledge, Skills, and Abilities

  • Proficiency with current office technology, including Microsoft Office (Outlook, Word, Excel, PowerPoint)

  • Typing speed of at least 60 words per minute with a high degree of accuracy

  • Strong written and verbal communication skills

  • Ability to work collaboratively with attorneys and colleagues in a team-oriented environment

  • Excellent attention to detail with the ability to manage multiple tasks and meet deadlines

  • Flexibility to adjust schedule during peak workloads or special projects, including availability for overtime as needed
Education

  • High school diploma or equivalent required

  • College degree preferred, but not required
Experience

  • Minimum of 5 years of legal secretarial experience in a relevant practice area

  • At least 2 years of experience supporting a billing attorney
