Front Office Administrative Assistant – Bilingual (Spanish)

Location: San Ramon, CA (Fully Onsite)

Schedule: Monday–Friday, 7:30 AM–4:00 PM (strict, no flexibility)

Type: Contract-to-Hire

Start Date: April 6, 2026

Pay range: $28-33/hour

Role Overview

This fully onsite position serves as the primary front-desk and first-point-of-contact for visitors, callers, and members. The role supports a high-traffic training and administrative environment and requires reliability, professionalism, and strong communication skills—especially in Spanish.

Key Responsibilities

Front Desk & Member Support

  • Answer and direct incoming calls per day
  • Greet and assist visitors or members, providing helpful and professional support.
  • Assist with class questions, appointments, and the overall orientation/check-in process.
  • Support visitors and members during tours, orientations, and training-related activities.

Administrative Operations

  • Monitor and respond to incoming emails across multiple shared inboxes.
  • File, scan, upload, and maintain organized electronic and physical records.
  • Provide general administrative support as needed to ensure smooth daily operations.
  • Maintain a clean, organized, professional front office environment.

Documentation & Systems

  • Upload and manage documents in internal tracking systems.
  • Maintain accuracy, compliance, and proper handling of documents and records.

Required Skills & Qualifications

  1. Bilingual Spanish — REQUIRED

  1. Prior experience with front desk office administration. Comfort learning new systems and handling daily administrative workflows.
