Job Title: Warehouse Operations Administrator

Schedule: Monday through Friday, 7:00 AM - 3:30 PM

Compensation: $24 per hour

Position Summary:
As a Warehouse Operations Administrator, you will play a crucial role in supporting the day-to-day operations of our third-party logistics (3PL) warehouse. Your focus will be on managing administrative processes, maintaining precise inventory records, and handling client-specific documentation to elevate our service quality. You will ensure accuracy in transaction processing, compliance with service level agreements (SLAs), and foster effective communication among warehouse operations, transportation partners, and customer accounts in a dynamic, multi-client environment.

Core Responsibilities

  • Maintain and update accurate inventory, order, and shipping records for multiple client accounts.

  • Process inbound and outbound orders, ASN documentation, BOLs, and shipping confirmations tailored to individual client requirements.

  • Support daily shipping operations utilizing carriers and freight forwarders while adhering to client cut-off times.

  • Collaborate with operations, transportation, and customer service teams to ensure adherence to SLAs.

  • Track and resolve inventory discrepancies, damages, and shortages, escalating issues per client SOPs.

  • Prepare and distribute client-centric reports including inventory accuracy, shipment status, and throughput metrics.

  • Assist in scheduling inbound deliveries and outbound shipments, optimizing dock and labor utilization.

  • Ensure compliance with company policies, client SOPs, OSHA safety standards, and quality requirements.

  • Provide administrative support to warehouse staff, including data entry, filing, and operational correspondence.

  • Monitor and manage warehouse supplies and administrative materials; coordinate replenishment and maintenance requests as needed.

  • Identify and address administrative process gaps, contributing to continuous improvement initiatives.

  • Perform other duties as assigned by management.

Systems & Tools

  • Experience with Warehouse Management Systems (WMS) required (e.g., SAP or other comparable WMS).

  • Familiarity with RF scanners and barcode systems.

  • Proficiency in Microsoft Office Suite (particularly Excel for reporting and Outlook for communication).

Qualifications

  • High school diploma or equivalent required; an Associate's or Bachelor's degree in Logistics, Supply Chain, or a related field is preferred.

  • At least 2 years of experience in a 3PL environment, warehouse administration, or logistics support role.

  • Proven understanding of inventory control, shipping documentation, and warehouse workflows.

  • Ability to prioritize and manage multiple client accounts in a fast-paced, deadline-oriented setting.

  • Excellent organizational, communication, and problem-solving skills are essential.

Preferred Qualifications

  • Experience in a 3PL setting managing multiple client accounts.

  • Forklift, reach truck, or order picker operational experience is a plus.

  • Familiarity with client reporting requirements.
