About the Role

We are in search of a seasoned Personal Executive Assistant to offer extensive support to a dynamic couple and their young family. This multifaceted role combines executive assistance, household management, family logistics, and involvement in special projects.

The ideal candidate will excel in a fast-paced environment, anticipate needs proactively, and ensure smooth operations in both personal and professional realms. You will collaborate with the principals and their household staff to manage everything from schedules to travel, events, property oversight, and family logistics.

Key Responsibilities

Executive & Professional Support

  • Efficiently manage and prioritize the principals' calendars to align with their strategic goals.
  • Filter and manage email correspondence, drafting replies and escalating important matters as necessary.
  • Coordinate across team projects to keep everyone aligned on meetings and deadlines.
  • Prepare materials, itineraries, and follow-up notes for meetings and events.
  • Compose occasional external communications to bolster the principals' thought leadership.

Family & Household Management

  • Manage complex family calendars, including schedules for school, medical appointments, and activities for their two young children.
  • Coordinate with nannies, chefs, housekeepers, landscapers, dog walkers, and property managers.
  • Oversee vendor relationships, ensuring smooth operations at their primary home in San Francisco and vacation properties in Healdsburg and Big Sur.
  • Lead household projects, including their transition into a new residence in January 2026.
  • Ensure that all homes are always guest-ready.

Travel & Events

  • Arrange complex domestic and international travel for the family, covering logistics, accommodations, transportation, and contingencies.
  • Ensure principals are thoroughly prepared for important commitments.
  • Organize personal and professional events, including fundraising dinners and holiday gatherings.
  • Occasionally accompany the family to provide on-site support.

Systems & Operations

  • Establish and maintain efficient systems for scheduling, bill payments, and household accounts.
  • Track expenses and maintain financial organization.
  • Maintain shared documentation and checklists for clear operational oversight.
  • Proactively anticipate and resolve issues before they escalate.

Success Metrics

  • Principals regain valuable work time.
  • Calendars, travel, and household operations function seamlessly.
  • Anticipated issues are resolved proactively.
  • Clear communication prevails among all stakeholders.
  • Homes and schedules remain well-organized and ready for guests.

Ideal Candidate Profile

  • Experience: Minimum of 5 years supporting senior executives or high-net-worth families in fast-paced settings.
  • Mindset: Team player with a low-ego, proactive attitude focused on excellence.
  • Ownership: Operates with accountability and diligence.
  • Judgment: Ability to discern when to escalate matters to the Chief of Staff.
  • Organization: Highly skilled in managing calendars, travel plans, and systems.
  • Skills: Google Suite proficiency is required, particularly in Sheets; strong writing and design skills are essential; Spanish fluency is a benefit.
  • Personality: Reliable, discreet, adaptable, and comfortable with children and pets.
  • Availability: Local to San Francisco or willing to relocate at own expense with a mandatory onsite presence.
  • Resilience: Self-directed in a dynamic and ambiguous work environment, with an ability to integrate feedback quickly.
