Role Summary

As a vital part of our team, Cinnamon is in search of a proactive and detail-oriented Executive Assistant to act as a strategic ally to our CEO, while also overseeing the daily operations of our San Francisco office. This pivotal role will allocate approximately 80% of your efforts to delivering exceptional support to our executive, with the remaining 20% concentrated on ensuring our office environment operates smoothly.

You will function as a key extension of the CEO, necessitating exceptional judgment, discretion, and prioritization skills. This role goes beyond typical administrative assistance, as you will enable the executive to focus on high-impact initiatives, thereby enhancing overall productivity. This position requires full-time presence at our San Francisco office.

Key Responsibilities

  • Effectively manage the CEO's calendar, allocating time to the most impactful priorities.
  • Proactively assess meeting requests, offering recommendations aligned with the company's strategic goals.
  • Prepare comprehensive daily and weekly briefings to ensure the CEO is fully equipped for every engagement.
  • Oversee and triage the CEO's inbox, drafting responses and ensuring timely follow-ups on critical matters.
  • Act as a liaison between leadership, board members, investors, customers, and external partners.
  • Generate high-quality executive materials including agendas, presentations, summaries, and briefing notes.
  • Track action items from leadership meetings and promote accountability among stakeholders.
  • Coordinate complex domestic travel, off-site events, client visits, and investor meetings.
  • Manage expense reporting and related administrative tasks with acute attention to detail.
  • Proactively identify operational gaps and mitigate issues before they affect the CEO's focus.
  • Maintain confidentiality concerning sensitive company matters.

Office Operations and Team Collaboration

  • Oversee the daily operations and appearance of the San Francisco office.
  • Manage the flow of company mail and packages, ensuring proper handling of sensitive documents.
  • Facilitate the timely distribution, scanning, and forwarding of official communications.
  • Maintain organized digital and physical filing systems as necessary.
  • Manage relationships with vendors providing facilities, maintenance, and other services.
  • Ensure workspace readiness by overseeing supplies and equipment.
  • Support the onboarding process for new team members in San Francisco, including workspace setup and orientation.
  • Plan and execute in-office team events, leadership meetings, and client visits.
  • Collaborate with the Seattle Office Manager to standardize processes and share best practices across locations.
  • Identify and implement improvements to operational processes, enhancing employee experience and productivity.
  • Assist in special projects and company initiatives that require executive-level coordination.

Required Qualifications

  • A minimum of 3 years of experience as an Office Manager, Workplace Manager, or in a related role.
  • Experience supporting an in-person office in a fast-paced or growing environment.
  • Exceptional organizational and time-management skills coupled with keen attention to detail.
  • Ability to manage vendors and operational logistics independently.
  • Strong written and verbal communication skills.
  • Proficient in Google Workspace tools (Gmail, Calendar, Docs) and common office software.
  • Resourceful, proactive, and adaptable to wearing multiple hats.
