Job Summary:

Plays a critical role in ensuring compliance with healthcare regulations while providing essential administrative support to the clinical team. Prepares, maintains, and files accurate medical records in accordance with legal and regulatory standards. Responds to patient inquiries, directs visitors, and processes orders while facilitating smooth patient admissions, transfers, and procedure scheduling. Ensures all patients are in accordance with their legal statuses. Ensures the accuracy of patient charts and performs ongoing data collection and maintenance. Provides clerical assistance to providers and clinical staff, ensuring adherence to policies and procedures, safety protocols, and operational efficiency as required. Works in high-acuity environments requiring safety awareness and specialized training.

Job Requirements:

Education and Work Experience:

  • High School Education/GED or equivalent: Required
  • Associate's/Technical Degree or equivalent combination of education/related experience: Preferred
  • One year's relevant experience: Preferred
Licenses/Certifications:
  • Unit Secretary training course: Preferred
  • Basic Life Support (BLS OR HS-BLS OR RQIBLS) Health Care Provider certification: Required
  • TEAM Certification: Required
Essential Functions:
  • Performs data collection and maintains data on an ongoing basis. Provides support to all Providers and clinical staff team members, as directed, to ensure that policies, procedures, and safety are maintained and that operations run efficiently. Collaborates with psychiatrists, social workers, nurses, legal advisors, and court personnel to streamline communication and document flow.
  • Verify and maintain the legal documentation for each patient to ensure compliance with healthcare regulations. The Unit Associate is responsible for checking and filing forms like MH1, MH4 and MH6, which are crucial for the legal treatment of patients. Coordinates court dates and legal proceedings related to patient care. Serves as a liaison between healthcare team, legal entities and the court system. Track and maintain schedules for court ordered evaluations and hearings. Provides guidance and ensures proper execution of consent forms in accordance with mental health laws.
  • Processes orders and assists unit visitors and callers. Ascertains flow of patients admission/transfers. Assists in scheduling patient procedures and assembling patient charts. Assists patients in understanding and completing legal forms.
  • Participates in regulatory, environmental compliance duties, clearing hallways, and calling for equipment/pick-up, as needed. Plays a key role in preparing for behavioral health audits and regulatory inspections, ensuring legal documentation is in order.
  • Performs other job-related duties as assigned.
