Executive Assistant

  2026-03-12     Reducto     San Francisco,CA
Description:

Reducto helps AI teams ingest real-world enterprise data with state-of-the-art accuracy. Most enterprise data, from financial statements to health records, is locked in unstructured file formats like PDFs and spreadsheets. We train vision models to read those documents the way a human would, enabling teams to build products, train models, and automate processes at scale.

We've grown rapidly, increasing revenue 7x year over year and partnering with hundreds of companies, from leading AI teams like Harvey, Vanta, and Scale, to enterprise customers across FAANG and top trading firms.

Reducto has raised over $100M from world-class investors including a16z, Benchmark, and First Round Capital.

The OpportunityAs Executive Assistant to the CEO, you will be one half of Reducto's Office of the CEO, working in close partnership with the Chief of Staff. This is not a traditional EA role. The CEO moves fast, operates across many contexts simultaneously, and communicates in whatever format is fastest: voice notes, rapid-fire Slack messages, half-context handoffs between meetings. Your job is to absorb that chaos and produce clarity.

You will own the CEO's email and calendar with genuine autonomy, manage the SF office, and serve as a cultural anchor for the team. Roughly 10 hours per week will be dedicated to office management; the rest is CEO support. The role gets dramatically better over time as trust compounds, and we are looking for someone who wants to go deep with one leader over years, not someone treating this as a stepping stone.

What You'll Do:

  • Own the CEO's inbox and calendar end-to-end. Triage what matters, draft responses that match his voice, protect focus time, and ensure nothing urgent falls through the cracks, including evenings and weekends when needed.
  • Turn chaos into clarity. When the CEO comes out of back-to-back meetings with 50+ Slack messages and competing asks, you will have already sorted what needs immediate attention, what can wait, and what can be handled without him.
  • Act as a true partner in the Office of the CEO alongside the Chief of Staff, with fluid ownership across whatever needs doing. The boundaries between the two roles are intentionally flexible.
  • Coordinate high-stakes logistics including travel, investor visits, customer meetings, and team events with the care and taste those moments deserve.
  • Dedicate roughly 10 hours per week to managing the SF office, from supplies and vendors to creating a warm, well-run environment the team genuinely enjoys coming into.
  • Build and sustain team culture through both recurring rituals and spontaneous moments: team lunches, offsites, celebrations, and the kind of energy that makes a room feel better when you walk in.
You'll Thrive Here If You:
  • Are the type of person who loves creating order out of chaos.
  • Have high EQ and perceptiveness. You pick up on context, tone, and shifting priorities without needing to be told. You anticipate what matters before it becomes urgent.
  • Are naturally always on. You are not someone who grits their teeth through after-hours work; you are someone who would feel wrong leaving something urgent unaddressed.
  • Have 4+ years supporting a CEO or C-suite executive, ideally at a fast-growing tech startup.
  • Are a strong written communicator who can adapt tone seamlessly across audiences, from investors to candidates to teammates.
  • Have genuine taste. You know the restaurant that is incredible but barely known. You choose gifts that are actually thoughtful. You want to be more in the know than the people around you.
  • Are warm, outgoing, and easy to be around. If the CEO is in a meeting when an investor walks in, it would feel natural for you to go spend time with them, and they would enjoy it.
  • See EA work as a craft, not a stepping stone. You take deep pride in the quality of your support and want to go deep with one leader over time.
Bonus points if you:
  • Have prior experience supporting a founder or CEO at an early-stage startup.
  • Are fluent in Google Workspace, Notion, Slack, and expense platforms like Brex or Ramp.
  • Have managed office operations and team culture in a high-growth environment.
  • Have a track record of building the kind of in-person team rituals that people actually look forward to.
Why Reducto

  • Speed: We move fast, ship often, and iterate in days, not months.

This is an in-person role based in our San Francisco office. We're an early-stage company, we move fast and work hard. Please apply only if that excites you.
