Legal Secretary - Labor & Employment

Location: Oakland or San Francisco, CA, in-person then hybrid 3/2
Position Type: Full-Time, Non-Exempt
Pay Range: $85,000 - $115,000 annually

A law firm is seekinga full-time Legal Secretary to support attorneys in its Labor & Employment practice. This is a non-exempt position with a 7.5-hour workday.
Key Responsibilities

  • Provide administrative and secretarial support to partners and associates
  • Draft, proofread, and revise legal documents, correspondence, and reports
  • File documents with courts and administrative agencies, including electronic filing
  • Assist with preparation for meetings, depositions, hearings, mediations, and trials
  • Maintain attorney calendars, contacts, and electronic case files
  • Review and route incoming mail appropriately
  • Enter attorney time and coordinate with billing staff on invoicing
  • Prepare new client matter memos and track matter status
  • Process check requests, vendor payments, travel arrangements, and expense reimbursements
  • Provide backup support to other secretaries as needed
  • Work overtime as required and perform additional duties as assigned
Qualifications
  • High school diploma required; bachelor's degree preferred
  • 7-10 years of legal secretary experience, preferably supporting senior attorneys
  • Experience in a law firm environment
  • Proficiency in Microsoft Office Suite and Adobe Acrobat
  • Knowledge of electronic document management, time entry, and calendaring systems (NetDocuments, Best Authority, CompuLaw/ProLaw; Aderant preferred)
  • Strong written and verbal communication skills; excellent organizational skills and attention to detail; ability to manage multiple deadlines in a fast-paced environment
  • Labor & Employment experience is preferred but not required
