Administrative Assistant (Legal)

Oakland, CA | Full-Time | On-Site | Non-Exempt

A well-established law firm is seeking a full-time Administrative Assistant to support its Oakland office. This is a non-exempt position requiring five days per week on-site. The ideal candidate has prior experience in a legal or professional services environment and brings professionalism, strong organizational skills, and a client-service mindset to a front-office role.

Key Responsibilities
  • Serve as the first point of contact for visitors and callers; answer and route phone calls, manage voicemails, greet guests, and validate parking
  • Maintain a professional, organized reception area and common office spaces
  • Order and manage office and kitchen supplies; coordinate with vendors as needed
  • Prepare and process expense reports, reimbursements, and payment submissions
  • Liaise with building management and parking offices regarding access and maintenance requests
  • Coordinate building and parking access for new hires and departing employees
  • Partner with HR and Office Management on onboarding and office setup
  • Provide general administrative support, including conference room scheduling, meeting preparation, mail handling, and courier coordination
  • Perform additional administrative duties as assigned
Qualifications
  • High school diploma or GED required; associate degree or administrative training preferred
  • 35 years of experience in a legal or professional services environment
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong communication and interpersonal skills
  • Excellent organizational skills and attention to detail
  • Reliable, discreet, and capable of maintaining a polished front-office presence
Compensation & Benefits
  • $55,000 $70,000 annually (hourly equivalent), depending on experience and qualifications
