Description

Location: Oakland, CA

Reports to: Chief Legal Officer, dotted line across the Executive Leadership Team

Hours: This is a hybrid role, with an expectation of 3 days/week onsite within our manufacturing environment in Oakland, CA.

Compensation Range: $85,000 to $105,000 salaried, exempt

Key Responsibilities:

  • Plan and execute leadership off-sites, company-wide All Hands meetings, and cross-functional corporate initiatives.
  • Manage office operations including vendor relationships, facility coordination, office supply management, and onsite logistics.
  • Provide comprehensive executive support including calendar management, meeting coordination, travel logistics, expense reporting, and preparation of leadership materials.
  • Support internal communication cadence and ensure meeting rhythm consistency across leadership teams.
  • Oversee C-suite expense reporting end-to-end, ensuring accuracy, timeliness, and policy compliance.
Desired Skills and Experience:
  • 5+ years of experience supporting senior executives in high-growth or fast-paced environments.
  • Strong organizational, time management, and multitasking skills with the ability to anticipate needs.
  • Experience managing executive travel logistics and expense reporting systems.
  • Comfort operating in manufacturing or regulated environments.
  • High level of discretion, professionalism, and ability to operate independently.
  • Strong communication skills and cross-functional coordination experience.
Minimum Requirements:
  • Proven experience managing executive calendars, travel coordination, and meeting logistics.
  • Demonstrated ability to manage corporate operations, vendor relationships, and office administration.
  • Experience handling C-suite expense reports with attention to detail and policy compliance.
  • Ability to work independently, prioritize competing demands, and maintain confidentiality.
  • Professional presence and strong judgment in high-visibility leadership environments.
