Description
The California Department of Transportation's (Caltrans) Division of Construction is seeking to hire one student assistant to support, in a learning capacity, under close supervision by the Staff Services Manager I, the student assistant, in a learning capacity,will work on a team tasked to administer the property control system for equipment deployed to employees at various Construction field offices. The Student Assistant is expected to become proficient in the following competencies as described below in order to successfully perform the essential functions of the job, while adhering to and promoting the Department's Mission, Vision, Values, Strategic Imperatives and Goals. This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.
Depending on the type of position you are applying for, a pre-employment background check consisting of one or more of the following may be conducted: employment history, professional references, criminal check: educational verification (degree, license, or official transcript) or DMV clearance. Prerequisites
Must be a college student attending classes during the regular term (Fall, Spring and Winter, if applicable), at one of the accredited colleges or universities on our affiliation list.

Students must be enrolled in at least six-semester units or nine quarter units for undergraduate students; four-semester units or six quarter units for graduate students.

Work Schedule
Flexible workdays and work hours, Monday - Friday, between 8 AM - 5 PM. The final work schedule will be determined by the supervisor.
Additional Work Schedule
Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday - Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, summer).
Compensation
$18.27 - $24.62 per hour
Minimum Qualifications
- Must maintain a minimum cumulative 2.0 GPA.
- Must complete each term with minimum unit requirements for Undergraduate and Graduate student classifications. Proof will be collected at the end of each Spring and Fall term.
- Ability to reason logically, analyze situations accurately, absorb information and carry out tasks required to complete a project.
- Good verbal and written communication skills and able to become proficient in software programs used for property control.
- Works well with others, eager to be part of a large project and accomplish something every day.
Preferred Qualifications- Under the amendment to Government Code Section 18220, state agencies shall give preference to a qualified applicant (up to 26 years of age) who is, or has been, a dependent child in foster care, a homeless youth, a formerly incarcerated youth, or a victim of human trafficking.
Duties and Responsibilities- In a learning capacity, the Student Assistant will assist with day-to-day administrative needs of Construction's Administrative Support Unit, including but not limited to creating and updating records, ensuring accuracy and validity of information using spreadsheets, and other data entry tasks using department approved databases and programs. The student will shadow staff to learn the process and procedures for labeling and locating equipment using a software program, floor plans, and a scanner.
- In a learning capacity, the Student Assistant will develop familiarization with the policies and procedures for tracking and deploying assets to Construction employees.
- In a learning capacity, the Student Assistant will be responsible for items such as assisting in the deployment and retrieval of cell phones, tablets, Mi-Fi devices, and other IT equipment in collaboration with the Telecom,
Equipment, and IT Liaison Analyst. - In a learning capacity, the Student Assistant will work as part of a team tasked with visiting Construction field offices. Updates and maintains electronic and hard copy files and utilizes Microsoft Suite to create and generate spreadsheets, tables, reports, forms, etc. The role aids in resolving equipment-related issues. The position responds to routine telephone and email inquiries following Department processes and procedures and forwards more complex and technical inquiries to an analyst or manager for response. The position may require operation of a State vehicle.
- In a learning capacity, the Student Assistant will provide support to the Division of Construction's Administrative Support Unit. Examples of tasks include organizing and filing documents, entering and updating data in databases, preparing reports and presentations using Microsoft Office Suite, and working on special projects.
- In learning capacity, the Student Assistant will be answering and directing phone calls, responding to email inquiries, and assist in maintaining supplies by checking stock to determine inventory levels; stocking items; delivering supplies to workstations.
- In learning capacity, the Student Assistant will also assist in cleaning up the office supply room and restocking copier supplies.
- In learning capacity, the Student Assistant will also support the team by attending meetings, taking meeting minutes, and ensuring follow-up on action items. The incumbent may perform other related duties as assigned.
- In learning capacity, the Student assistant's main focus will be setting up an property control system to track and monitor copiers, printers, fax machines, computers, monitors, cameras and other State-owned equipment. This system will also be used to build and maintain a replacement program for old, obsolete and broken equipment. The value of the equipment involved exceeds $300,000 each year and errors will be costly in terms of supplying and tracking equipment necessary to obtain 100% completion of Transportation projects.
Requirements Physical requirements include sitting for long periods of time using a keyboard and monitors. Bending frequently and standing for extended periods of time may be required, along with the ability to move/carry large and cumbersome equipment weighing up to 50 pounds.
Mental requirements include sustained mental activity in learning new processes and applying what is learned to complete tasks.

Must be able to deal effectively with pressure, maintain focus and intensity yet remain optimistic and persistent. Working Conditions While at the base of operations student assistant will work in a climate-controlled office under artificial lighting.
Will also be required to travel to various RE field offices and handle dusty equipment in awkward placements.
This position may be eligible for telework. The amount of telework is at the discretion of the Department and based on Caltrans's evolving telework policy.
