Qualifications - Education & Experience:

  1. High school diploma required. Associates degree or equivalent combination of education and experience preferred.
  2. Three (3) years related experience, including direct experience in office coordination, i.e., prioritizing work assignments, maintaining work flow to meet deadlines.
  3. Experience and training which provide the following abilities, skills and knowledge:
    1. Knowledge of grammar, spelling, punctuation and mathematics to perform successfully in this position.
    2. Proficiency in the use of technology and applications such as Google, Microsoft Suite, etc.
    3. Possess the keyboarding skills necessary to perform successfully in this position.
    4. Ability to establish priorities, resolve conflict, remain calm under stressful situations, and multi-task.
    5. Ability to compose and generate various forms of communications.
    6. Ability to communicate with staff, students and community members in a courteous, tactful, and effective manner.
    7. Ability to operate standard office equipment.
    8. Ability to work effectively under pressure with minimal supervision.
  4. Commitment to maintaining confidentiality specific to all student/school-related matters.
  5. Must exhibit a pleasant personality and positive attitude toward working with students, administration, staff and community members.
  6. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
Essential Duties and Responsibilities:
  1. Serve as a resource/liaison for parents, students, staff and community members in the day-to-day operations of the school/building.
  2. Serve as support staff to administrator and perform administrative support functions as needed.
  3. Maintain pupil accounting records, including student attendance and proper record-keeping in appropriate student data systems.
  4. Handle all incident reports for staff/students.
  5. Assist the administrator with tracking the building budget and managing internal funds.
  6. Maintain inventory and prepare orders for all instructional and office supplies, including processing of new materials and books.
  7. Manage all building accounts, including tracking of budget, incoming money, and internal spending, in conjunction with administrator-in-charge.
  8. Assist with daily coverage at the building location, including noon aides and coordination of all Willsub scheduling.
  9. Facilitate the scheduling of building usage and maintain master calendar.
  10. Coordinate activities including Parent/Teacher Conferences, field trips, student releases/returns, school drills, building events, etc.
  11. General office duties, including word processing, filing and sorting mail.
  12. Assist with incidents of student illness, medication and Medical Action Plans, including printing emergency cards each semester.
  13. Assist in implementing office security protocols.
  14. Assist with compilation of office reports and evaluations, as needed.
  15. Maintain records for building/office staff, as needed.
  16. Maintain regular and predictable in-person attendance.
  17. Support the vision and mission of Oxford Community Schools.
  18. Perform other duties as assigned by the Building Principal or designee.

OESPA 2026-27 base hourly rate: $19.57
