Contractor Work Model: On-Site, Hybrid Role (Need to be in San Rafael Office When Needed, Approximately 5 days per month)

Overview
Leading biotechnology company looking for an experienced Sr. Administrative Assistant. Ideal candidates should have at least 5 years administrative experience in the biotechnology or pharmaceutical industry. As well as experience with SAP/SRM contract management experience.
Responsibilities
Coordinate and organize meetings, conference calls, and offsite events, including logistics, technical setup, catering, and minute-taking
Manage travel arrangements, including flights, accommodations, and transportation, ensuring adherence to budget and policy guidelines
Prepare and process expense reports using Concur or similar systems, ensuring accuracy and timely reimbursement
Oversee office supplies and departmental inventory management
Serve as the point of contact for IT issues, supporting ongoing team productivity
Participate actively in GPS meetings, contributing to effective communication and operational continuity
Maintain and coordinate departmental calendars, supporting leadership and staff scheduling
Submit and track contract requests within BioMarin's contract management system
Reconcile departmental invoices and monitor financial transactions
Develop and update departmental project trackers, follow up on deliverables, and prepare status reports
Organize and maintain departmental files within BioMarin's document management system
Manage contact lists and organizational charts to reflect department changes
Requirements
Minimum of 5 years administrative experience, preferably supporting pharmacovigilance or biotech/pharmaceutical functions
Proven experience with SAP/SRM contract management systems
Advanced proficiency in Microsoft Office Suite, Concur, SharePoint, and other business tools
Strong organizational, planning, and coordination skills in fast-paced environments
Excellent written and verbal communication abilities
Ability to work independently with initiative and attention to detail
Bachelor's degree highly preferred
