LHH is assisting a established, mission-driven organization headquartered in the Sacramento area. We are looking for a seasoned Executive Administrative Assistant to provide high-level support to our C-suite leadership team and help drive organizational effectiveness.

The Executive Administrative Assistant will serve as a trusted partner to C-suite executives, managing complex calendars, coordinating domestic and international travel, and handling expense reporting with accuracy and discretion. The ideal candidate is proactive, detail-oriented, and experienced in navigating a fast-paced, high-demand environment while maintaining a high level of professionalism and confidentiality.

Key Responsibilities:

  • Provide proactive administrative support to C-suite executives, anticipating needs and resolving issues before they arise
  • Manage complex, high-volume calendars, including scheduling meetings, resolving conflicts, and prioritizing requests
  • Coordinate domestic and international travel arrangements (air, hotel, ground transportation, itineraries)
  • Prepare, process, and reconcile executive expense reports in a timely and accurate manner
  • Organize and support executive meetings, including agenda preparation, materials, logistics, and follow-up action items
  • Draft, proofread, and edit correspondence, presentations, and reports for internal and external audiences
  • Act as a primary point of contact and gatekeeper for executives, managing communications and ensuring timely responses
  • Maintain strict confidentiality with sensitive information and documents
  • Partner with internal stakeholders and external vendors to support executive priorities and key initiatives

Qualifications:

  • Assist with special projects, board or leadership meetings, and events as needed
  • 5+ years of experience as an Executive Assistant or Executive Administrative Assistant supporting C-suite or senior-level executives
  • Demonstrated expertise in complex calendar management, including across time zones
  • Proven experience coordinating domestic and international travel for executives
  • Strong experience with expense management and reporting (e.g., Concur, Expensify, or similar tools)
  • Advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint; comfort learning new tools and systems
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines
  • Strong written and verbal communication skills, including professional email and document drafting
  • High level of professionalism, discretion, and judgment when handling confidential information
  • Demonstrated ability to work independently, take initiative, and problem-solve in a fast-paced environment
  • Associate or bachelor's degree preferred, or equivalent combination of education and relevant experience

Compensation: $90k-$115K DOE
