Receptionist Position

We are looking for a detail-oriented and service-focused receptionist to join a private equity firm in San Francisco, California. In this contract position, you will act as the first point of contact for visitors while ensuring smooth office operations and providing administrative support to select members of the investment team. This role is ideal for someone who is organized, tech-savvy, and has a genuine passion for hospitality.

Responsibilities:

  • Welcome and assist guests with courtesy and warmth, ensuring they feel comfortable and accommodated.
  • Manage incoming phone calls and direct inquiries to the appropriate team members.
  • Maintain a clean, organized, and inviting reception area to create a positive impression.
  • Oversee daily office operations across two floors, supporting approximately 45 employees.
  • Keep kitchen and pantry areas stocked and tidy, ensuring cleanliness and organization.
  • Coordinate office food and beverage orders, including catering and lunch meeting setups.
  • Prepare and reset conference rooms for meetings, ensuring a seamless experience for attendees.
  • Handle mail distribution, deliveries, and general office upkeep to maintain functionality.
  • Provide administrative assistance to five associates on the investment team, including scheduling and travel arrangements.
  • Process expense reports using Concur and assist with light administrative tasks as needed.

Requirements:

  • Minimum of 2 years of experience in a receptionist, hospitality, or office support role.
  • Strong interpersonal and communication skills with a detail-oriented demeanor.
  • Hospitality-oriented approach, emphasizing proactive service and attention to detail.
  • Comfortable using technology and learning new software systems.
  • Familiarity with expense management platforms like Concur is preferred.
  • Exceptional organizational abilities and ability to multitask effectively.
  • Calm and composed presence in an environment with high expectations.
  • Discretion and confidentiality when handling sensitive information.
