We are seeking a highly capable Executive/Personal Assistant to support the CEO of a fast-growing fintech AI company in San Francisco, CA. This is a high-impact role for someone who thrives in ambiguity and prefers to ask for forgiveness rather than permission.

This role is approximately 70% Executive Assistant / 30% Personal Assistant and serves as the CEOs dedicated point person for calendar management, travel coordination, and inbox management. You will also support event planning, vendor management, and occasional light office needs.

Responsibilities

  • Own complex, high-volume calendar management across multiple time zones
  • Act as a gatekeeper and prioritization partner for the CEO
  • Manage and triage the CEOs inbox, ensuring timely responses and follow-ups
  • Coordinate board meetings, investor meetings, executive offsites, and key internal meetings
  • Prepare agendas, briefing materials, and follow-ups as needed
  • Track action items and ensure execution without needing reminders
  • Manage business and personal travel planning (flights, hotels, ground transport, visas if needed)
  • Support light personal logistics for the CEO (appointments, personal travel, household coordination as needed)
  • Manage thoughtful gift-giving for clients, partners, investors, and personal occasions
  • Plan and execute company events
  • Coordinate executive dinners, client events, and hosted meetings
  • Manage vendors, venues, budgets, and logistics
  • Provide light office support on occasion (most office admin is handled by another team member)
  • Step in where needed to ensure smooth day-to-day operations

Qualifications

  • 5+ years of experience as an Executive Assistant or similar role supporting senior leadership
  • Comfortable supporting both professional and personal needs
  • Highly organized with exceptional attention to detail
  • Strong judgment, discretion, and emotional intelligence
  • Ability to own projects independently
  • Proactive, anticipatory, and solution-oriented
  • Thrives in fast-moving, high-growth, and ambiguous environments

Schedule & Location

  • 8:00am6:00pm
  • 4 days in-person, 1 day remote (Wednesdays)
  • San Francisco, CA

Compensation & Benefits

  • $110,000$130,000DOE
