Position Summary:
The Package Mailroom Clerk plays a key role in managing the accurate collection, sorting, processing, and delivery of incoming, outgoing, interdepartmental, and identification (ID) mail across campus. This position ensures all mail and packages are securely logged, tracked, and distributed to the appropriate departments in a timely manner while maintaining accurate records and mailroom supply inventory. The role includes coordinating with external carriers and vendors, independently managing delivery routes, investigating and resolving mail-related issues, responding to ServiceNow tickets, and supporting inbound package processing and overall package center operations. The Package Mailroom Clerk serves as a primary point of contact for internal staff, providing courteous, responsive, and professional customer service while addressing mail-related inquiries. The ideal candidate is detail-oriented, organized, reliable, capable of working independently, and able to multitask effectively in a fast-paced environment while adapting to changing operational priorities.
Essential duties include, but not limited to:
- Accurately inspect, receive, and document incoming mail and packages at the warehouse, ensuring shipments match purchase orders, delivery schedules, and internal records.
- Collect inbound packages from the lobby, outdoor containers, conveyor system, and surrounding areas, and distribute shipments to appropriate departments or individuals with timely notification of arrivals.
- Identify, inspect, and properly handle fragile items, refrigerated medications, food, and other perishable materials in accordance with handling and safety procedures.
- Reject, process, or escalate damaged, tampered, misaddressed, or otherwise non-compliant packages per established company protocol, and report any discrepancies to the supervisor.
- Operate mailroom and warehouse equipment, including conveyor systems, by performing inspections, loading, monitoring operations, troubleshooting basic issues, and manually processing oversized, undersized, unlabeled, or misrouted packages.
- Sort, organize, and stage packages by delivery route, priority, and department, separating business-critical items and immediately notifying the supervisor upon receipt.
- Research unidentified packages, update inventory and shipment records using designated software systems, and maintain accurate documentation of receipts, transfers, and inventory levels.
- Pack, label, and prepare outgoing shipments, coordinate with courier services and vendors, and complete "return to sender" or donation processes for unclaimed or undeliverable packages in accordance with policy.
- Track and manage inventory levels of office supplies, IT equipment, and shipping materials, updating records as needed and reporting shortages or discrepancies.
- Liaise with vendors, couriers, and suppliers to ensure timely deliveries, resolve shipment issues, and maintain service standards.
- Collect, sort, and deliver interdepartmental and ID mail across campus in accordance with established schedules, routes, and security protocols.
- Complete assigned ID mail routes independently, ensuring timely, accurate, and secure delivery to designated departments or recipients.
- Respond to ServiceNow tickets related to ID mail inquiries, delivery issues, or requests within required timeframes.
- Investigate, track, and report missing, delayed, or misdelivered ID mail, escalating issues as appropriate and documenting findings.
- Maintain accurate records of ID mail distribution, route completion, and issue resolution using designated systems and tools.
- Support package center operations during non-route periods or as operational needs require, including assisting with mail and package processing.
- Coordinate with package center staff, supervisors, and campus departments to resolve mail-related concerns and ensure service continuity.
- Adhere to all safety, security, and confidentiality requirements related to handling ID mail and internal correspondence.
- Maintain cleanliness, organization, and safety of all mailroom and warehouse areas, ensuring adherence to safety, security, and compliance protocols.
- Assist with office relocations, equipment moves, special projects related to shipping and receiving, and complete basic maintenance assignments as directed by the immediate supervisor.
Qualifications
- Proficiency with shipping logistics software. Microsoft Office Suite including, Access, Outlook, Word, PowerPoint & Excel.
- Experience in shipping, receiving, logistics, or inventory management, ideally in a corporate or office setting.
- Strong attention to detail with the ability to maintain accurate records.
- Strong organizational and analytical skills; problem solving ability.
- Basic knowledge of standard janitorial duties, cleaning techniques, products and equipment preferred.
- Ability to multitask in a fast-paced work environment.
- Ability to troubleshoot common maintenance issues and coordinate specialized services when necessary.
- Ability to work in a team-oriented environment, maintain a positive attitude at all times, and be able to assist the team/department to complete goals.
- Ability to react quickly and appropriately under pressure in emergency situations with a cool head and professionalism.
- A strong commitment to delivering exceptional customer service and enhancing customer experience.
Job Requirements:
- Regular attendance and/or physical presence at the job site.
- Must be 18 years of age.
- Must possess and maintain a valid CA Driver's License and clean MVR.
- High school diploma/GED required OR equivalent work experience in lieu of.
- Must be able to read, write, and speak English sufficiently to communicate clearly with employees, visitors, delivery partners, supervisors, and coworkers, and to accurately complete system-based documentation and follow written procedures.
- Must be able to operate hand tools appropriate to the application.
- Ability to move, lift, carry, pull, or push heavy objects or materials.
- Lift up to 25 pounds unassisted.
- Extensive use of hands, reaching over and bending.
- Ability to stand for long periods, bend, stoop, kneel, and perform repetitive tasks.
- Work in varying temperature environments (internal and external parts of the building).
