We are looking for a Receptionist (Guard Card Required); with exceptional customer service skills to join the Prosegur Team!

Summary:

The Receptionist will provide valuable support to the office operations, ensuring efficient day-today functioning. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively. The successful candidate will assist with various administrative tasks and contribute to maintaining a smooth workflow in the office.

Responsibilities:

  • Assist with general administrative tasks such as filing and document management.
  • Manage incoming calls, emails, and correspondence, redirecting them as necessary.
  • Maintain office supplies inventory and place orders when needed.
  • Assist in coordinating office events, meetings, and appointments.
  • Assist in coordinating lunch orders and deliveries.
  • Assist with processing the onboarding, extension, and termination of contractors.
  • Create U.S. Invitation Letters for business related visits.
  • Schedule, assign and track monthly training for security services personnel.
Reception and Visitor Management:
  • Greet and welcome visitors, clients, and employees in a professional and friendly manner.
  • Answer and direct incoming calls and inquiries to the appropriate personnel.
  • Maintain a tidy and presentable reception area.
  • Manage visitor access and issue security badges as required.
  • Coordinate meeting room bookings and assist with setup.
Miscellaneous Tasks:
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Create shipping labels for outgoing shipments and arrange pickup.
  • Adhere to company policies and procedures, ensuring confidentiality and professionalism.
  • Other reasonable duties as assigned.
Qualifications:
  • Valid California Guard Card (Required)
  • High school diploma or equivalent
  • Previous experience in an administrative or office support role is a plus.
  • 1 year in administrative or office support experience.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Effective verbal and written communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Friendly and professional demeanor with excellent interpersonal skills.
