Job Title: RegistrarLocation: San Diego, CaliforniaEmployment Type: Full-time, Exempt, On-site, currently Fridays remoteReports To: COOPosition OverviewThe Registrar oversees the accuracy, integrity, and confidentiality of student academic records and plays a central role in supporting student progression from enrollment through graduation. This position serves as the official custodian of records and works closely with Admissions, Student Services, Financial Aid, Academics, and Institutional Research to support registration, scheduling, degree completion, and institutional reporting.As a member of the Student Success Team, the Registrar contributes to enrollment management, retention, and student completion goals while providing responsive and professional service to students, faculty, and staff. The ideal candidate is highly organized, detail-oriented, and service-minded, with the ability to manage multiple priorities, exercise sound judgment, and communicate clearly with students, faculty, and staff. This is a hands-on role suited for someone who values accuracy, consistency, and collaboration in a small-college environment.Key ResponsibilitiesAcademic Records & Data IntegrityServe as the official custodian of student academic records, maintaining accuracy, confidentiality, and compliance with FERPA and applicable regulations.Maintain complete and accurate student records, including enrollment status, grades, academic standing, transfer credit, and degree completion.Monitor record integrity, identify discrepancies, and resolve data issues in coordination with internal departments.Maintain consistent application of academic policies and procedures related to records, registration, grading, and completion.Scheduling, Registration & Enrollment SupportLead the development of the academic course schedule each semester in collaboration with Academic leaders and Program Directors, balancing curriculum requirements, faculty availability, and student progression needs.Oversee student registration processes, including prerequisite verification, schedule creation, enrollment changes, and add/drop activity.Support students in understanding registration processes, course sequencing, and degree requirements.Monitor enrollment patterns and registration activity to support timely progression and retention.Process all student registrations, adds, drops, and enrollment status changes.Academic Progression & GraduationConduct degree audits and graduation evaluations to verify completion of program and general education requirements prior to conferral.Administer academic standing actions, including probation, dismissal and drops in accordance with institution policy and established timelines.Communicate academic status decisions clearly and professionally to students and relevant departments.Coordinate graduation processes, including final audits, diploma issuance, and serve on the commencement planning committee.Cross-Functional Collaboration & Reporting SupportWork closely with other departments to reconcile enrollment status, academic credits, and billing records, and to address discrepancies.Partner with Institutional Research staff to support accurate and consistent student data collection, reporting, and analysis related to enrollment, progression, and completion.Maintain academic records information on the institution's website, including calendars, grading information, transcript requests, and graduation details.Operational Support & Continuous ImprovementDocument and maintain procedures related to registrar operations, registration, and records management.Participate in planning activities related to orientation, commencement, and student lifecycle processes.Provide guidance and training to admissions and student services staff related to registration processes, academic records, and policy interpretation.Identify opportunities to improve processes, communication, and the student experience related to academic records and registration.Serve as a Designated School Official (DSO), or obtain designation upon hire, responsible for maintaining SEVIS records and reporting changes in enrollment status, academic standing, and program completion for international students.Minimum QualificationsBachelor's degree from a regionally accredited institution.Minimum of two years of experience in registrar, records, or academic administration.Knowledge, Skills, & AbilitiesWorking knowledge of academic records management and student information systems.
