Job Overview

As Receptionist you will greet and assist all visitors, answer inbound calls, and provide exceptional service. You will maintain a professional image of the company, support mail/shipping and hospitality operations, and conduct general office/facilities work as needed.

Main Functions

  • Reception/concierge: answer all calls and correspondence, providing exceptional customer service for all incoming/outgoing visitors.
  • Light facilities/hospitality: assist with troubleshooting tickets, order supplies, stock kitchens/service areas, set up and take down conference rooms.
  • Mail service: assist with sorting, distributing mail, receiving and tracking packages.

Duties and Responsibilities
  • Provide 5?star customer service to employees and visitors across all communication channels.
  • Answer incoming telephone calls and route callers to the appropriate person.
  • Ensure visitors complete, sign, and understand the companys NDA.
  • Log visitors into the registration system.
  • Activate temporary badge access for employees and issue facility access cards.
  • Handle global calls, including confidential inquiries, using the company switchboard.
  • Prioritize calls and escalate service issues to the proper chain of command.
  • Manage and update the company phone and speed?dial lists.
  • Train backup staff and provide guidance on policies and procedures.
  • Notify employees of inbound deliveries or deliver to the Mail Room as appropriate.
  • Perform light administrative tasks: schedule meeting rooms, order catering, prepare labels, compile manuals.
  • Track loaned access cards and coordinate with Security for missing cards.
  • Build professional relationships
