Description

Summary: Under the direction of the Service Manager, the Service Coordinator will coordinate part manufacture with in-house and subcontracted sources, develop professional repair scopes of supply with inspection details and pictures that can be presented to the customer in the form of a quote, communicate effectively and consistently with internal and external clients, coordinate repair projects, provide quotes or estimates for pump repairs.

Responsibilities of the Service Coordinator include, but are not limited to:

  • Assist the Service Coordinator in requesting quotes for parts needed on service orders.
  • Enter jobs into the P21 system and assign SO numbers and create POs.
  • Capture freight charges and ensure received parts are allocated to the correct job.
  • Assist with inputting labor hours into service orders within P21.
  • Provide administrative support to the Service Manager, including handling documents and special requests.
  • Monitor job progress by checking the board daily and following up with vendors or shop leads on any delays.
  • Create and maintain spreadsheets to track shop supplies inventory.
  • Order office supplies for the service department.
  • Generate packing slips for all completed jobs leaving the shop.
  • Maintain and organize important documents for field and service mechanics such as badging, certificates, and any safety documents.
  • Price check and order necessary supplies for field mechanics and machinists.
  • Ensure required forms are consistently stocked and readily available.

Qualifications of the Service Coordinator include, but are not limited to:

  • Prior inside sales/customer service experience
  • The ideal candidate would have preferably/but not required 2-3 years of some combination of the following knowledge: pump/motor /rotating equipment/industrial products sales
  • Efficient in Windows based programs (Excel, Word, PowerPoint, etc.). Experience with SalesForce, Zoom, Microsoft Teams, SAP Ariba, and Citrix P21 would be a plus.
  • Excellent communication skills
  • Should be enthusiastic and able to work independently
  • Must have experience performing a majority of the functions
  • Willingness to learn and take directions when needed
  • Data entry skills, organization, multi-tasking and customer focus is required
