we are looking for support in building a bench of 3-5 candidates who would be available to cover the front desk at the San Francisco office when their full-time receptionist is out of the office (sick, pto, etc.) or needs to travel for work. If the receptionist will be out for planned travel or PTO, ample notice would be provided for coverage, but there may be times when she is out sick, and they need coverage the morning of. Since this is somewhat of an "on-call" position, they would like to identify a few candidates who are screened and cleared to work to ensure someone is always available to cover.
Front-desk coverage including answering phones, greeting guests and directing them appropriately.
• Answer, screen and forward any incoming phone calls/voicemails while providing basic information as needed.
• Receive, sort and distribute incoming mail/deliveries/couriers. (FedEx, UPS, etc.)
• Prepare outgoing mail for distribution.
• Maintain security by following established procedures and controlling access by issuing guest badges.
• Manage conference room scheduling as needed.
• Assist Recruiting with greeting and escorting candidates.
• Provide general administrative support to manager as needed.
• Weekly maintains supplies by checking stock to determine inventory levels; anticipate requirements; place and expedite orders; verify receipt of items ordered; stock supplies.
• Place and set-up catering orders through vendors as needed
• Previous professional office experience desired.
• Candidate should demonstrate front office expertise and related experience with a professional appearance.
• Impeccable communication skills; both verbal and written.
• Ability to prioritize tasks.
• Advanced working knowledge of Client Office and Excel.
• Must be customer oriented with a true desire to be of service. We are looking for someone that goes above and beyond and has more than just good customer service skills.
• Must display a high level of integrity in dealing with issues of a confidential nature.
• Ability to work under pressure in a multi-tasking environment and be self-driven.
