Overview

A leading international law firm is seeking a Client Account Specialist to join its Finance and Accounting team. This role plays a key part in managing client accounts, including billing, collections, and account maintenance, whilebuilding strong relationships with attorneys and clients across the firm. The ideal candidate will demonstrate strong analytical and communication skills, a keen attention to detail, and the ability to deliver exceptional client service in a fast-paced professional environment.

This position offers flexibility with hybrid options in select offices or a fully remote arrangement in an approved U.S. state.

Responsibilities

  • Manage the full cycle of client account processes, from engagement setup to collections.

  • Foster professional relationships with attorneys, staff, and clients to ensure billing compliance and accuracy.

  • Handle complex billing arrangements, including client-level billing and collection requirements.

  • Train and mentor billing specialists, providing guidance on best practices.

  • Review and verify billing rates, apply outside counsel guidelines, and monitor budgets, discounts, and fee caps.

  • Oversee the prebill and final bill process, ensuring accurate and timely submissions.

  • Collaborate with eBilling and Accounting teams to ensure accurate electronic invoice submissions and resolve related issues.

  • Communicate directly with clients regarding billing inquiries, collections, and account adjustments.

  • Prepare monthly billing and collection forecasts, monitor progress, and provide ad hoc reporting as needed.

  • Assist with reconciliations, unapplied cash management, and trust fund applications.

  • Maintain confidentiality, accuracy, and professionalism in all aspects of client account management.

  • Support process improvements and cross-training initiatives to ensure operational continuity.
Requirements

  • Bachelor's degree in accounting, finance, or business preferred, or equivalent relevant experience.

  • Prior law firm billing experience required.

  • Proficiency in financial management systems and advanced Excel reporting.

  • Strong business acumen, analytical, and problem-solving skills.

  • Exceptional organizational abilities with high attention to detail and accuracy.

  • Excellent communication and client service skills, both written and verbal.

  • Ability to manage multiple priorities, meet deadlines, and work independently or collaboratively.

  • Proven reliability, discretion, and initiative.

  • Flexibility to work additional hours as necessary.
Compensation & Benefits

  • Salary Range: $57,120 - $95,000 (commensurate with experience, qualifications, and location)

  • Eligible for overtime as a non-exempt position.

  • Annual discretionary bonus opportunity.

Work Arrangement

This position may be performed:

  • On a hybrid schedule from one of the firm's offices in Chicago, Denver, Houston, or Washington, D.C., or

  • 100% remotely in an approved U.S. state.
