We are looking for two dedicated and detail-oriented Sr. Administrative Assistants to join our team in Alameda, California. This long-term contract position offers an excellent opportunity to contribute to financial and grant management processes while working onsite in a collaborative environment. The ideal candidate will excel in handling budgeting, reporting, and compliance tasks with precision and efficiency.

Responsibilities:

  • Oversee financial aspects of grants, including creating budgets, forecasting expenditures, and allocating funds appropriately.
  • Prepare and submit comprehensive financial reports to grantors, ensuring accuracy and adherence to funding guidelines.
  • Monitor grant obligations and spending to maintain alignment with program objectives and deadlines.
  • Collaborate with internal teams to ensure compliance with financial and grant-related regulations.
  • Utilize accounting software and financial tools to track and manage financial data effectively.
  • Support organizational operations by managing calendars, coordinating meetings, and handling inbound calls.
  • Assist in streamlining budgeting processes and improving reporting systems to enhance operational efficiency.
  • Maintain a high level of organization while managing multiple priorities and deadlines.
  • Communicate effectively with stakeholders to provide updates on grant status and financial progress.
  • Ensure timely submission of grant-related documentation and compliance with all funding requirements.

Requirements:

  • Demonstrated experience in grant management or financial reporting, ideally within nonprofit, government, or educational settings.
  • In-depth knowledge of accounting principles, financial reporting standards, and grant compliance requirements.
  • Proficiency in accounting software and tools such as QuickBooks or similar systems.
  • Strong analytical skills with the ability to solve complex problems and ensure accuracy in financial data.
  • Excellent organizational skills to manage multiple tasks and deadlines effectively.
  • High attention to detail to ensure compliance and accuracy in all financial processes.
  • Ability to communicate clearly and professionally with stakeholders at various levels.
  • Familiarity with tools like ADP, CRM platforms, Concur, and Cisco Webex Meetings to support administrative tasks.
