Position Overview

The Senior Talent Acquisition Coordinator plays a critical role in supporting high-volume clinical and non-clinical hiring in a highly regulated healthcare environment. Reporting within the Human Resources function, this role is responsible for the day-to-day coordination and execution of recruitment, onboarding, internal job movements, and employee lifecycle documentation.

This position serves as a key operational partner to recruiters, HR Operations, Payroll, IT, department leaders, and union representatives to ensure hiring and internal movement processes are accurate, timely, compliant, and consistently executed. The ideal candidate is highly organized, detail-oriented, service-focused, and thrives in a fast-paced healthcare setting.

What You'll Do
Recruitment Coordination & Hiring Support

  • Support high-volume recruitment for clinical and non-clinical roles, including nursing, caregiving, and support services
  • Post and maintain job requisitions in Greenhouse (ATS) and approved job boards in accordance with internal approval processes
  • Schedule interviews, coordinate logistics, and communicate with candidates and hiring teams
  • Serve as a primary point of contact for candidates throughout the interview and onboarding process
  • Track candidate progress and ensure timely movement through the hiring lifecycle
Onboarding & New Hire Orientation
  • Coordinate onboarding activities from offer acceptance through start date
  • Schedule and support bi-weekly New Hire Orientation sessions, including materials preparation and attendance tracking
  • Partner with HR Operations, IT, Payroll, and department leaders to ensure system access, payroll setup, and onboarding tasks are completed accurately and on time
Internal Job Bidding, Transfers & Personnel Actions
  • Manage internal union job bidding processes from posting through offer and acceptance in accordance with collective bargaining agreements
  • Coordinate internal transfers, promotions, and position changes
  • Prepare, track, and follow up on Personnel Action Forms (PAFs) to ensure timely approvals and accurate processing
  • Serve as a liaison between Talent Acquisition, HR Operations, and Payroll to ensure internal movements are correctly reflected in HR systems
Compliance & Documentation
  • Ensure recruitment and onboarding activities comply with federal, state, and local employment regulations, including California wage and hour laws
  • Track and verify licensure, certifications, background checks, health screenings, and other pre-employment requirements
  • Maintain complete, audit-ready recruitment and onboarding records aligned with CMS, CDPH, and Title 22 requirements
  • Follow union, contractual, and organizational guidelines throughout all hiring and transfer activities
HR Systems & Data Management
  • Maintain accurate candidate and employee records in ATS and HRIS systems
  • Generate standard recruitment and onboarding reports to support operational tracking and compliance
  • Identify data discrepancies and partner with HR Operations to resolve issues
Process Support
  • Support standardized recruitment and onboarding procedures and assist with continuous process improvement
  • Provide professional, service-oriented support to candidates, employees, and internal stakeholders
  • Perform related duties as assigned

What We're Looking For
  • Associate's or Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field - or equivalent work experience
  • Minimum of two (2) years of experience in recruitment coordination, HR administration, or a related support role
  • Experience supporting high-volume hiring in a healthcare, skilled nursing, or long-term care environment preferred
  • Working knowledge of recruitment processes, onboarding requirements, and employment documentation
  • Proficiency with Greenhouse (ATS) and HRIS platforms
  • Strong organizational skills with exceptional attention to detail and accuracy
  • Ability to manage multiple priorities in a fast-paced environment
  • Demonstrated discretion, professionalism, and commitment to confidentiality
