Janitorial Services Coordinator

Job Summary: Under the supervision of the Janitorial Environmental Services Manager or the Director of Vocational Services, the Coordinator for Janitorial Services provides overall administrative and operational support to the janitorial services arm of Hire-Ability. A primary focus of the position is to support the program and staff in administrative and operational functions to ensure support of our janitorial crew and consistent janitorial services at 11 locations.

Primary Responsibilities Include:

  • Oversee the administrative and support the programmatic operations of the janitorial services program.
  • Assist with and coordinate the following: recruitment, staff orientation & training, staff scheduling & coverage, staff meetings, assessing & assisting with staff's professional development, including scheduling Performance Evaluations.
  • Act as a contact person, build collaborative relationships with all Janitorial customers and vendors, and act as the liaison between vendors and RAMS Accounting Department.
  • Develop and maintain clear, open, timely, cooperative, and diplomatic communications and working relations with all partner agencies and vendors.
  • Work with program/janitorial staff in purchasing of program supplies. Manage and maintain accurate supply purchasing & payment processes and assist with inventory control.
  • Track employee attendance and process timesheets of employees, inputting and submitting timecards correctly and on time, and coordinating distribution of paychecks.
  • Assist with staff and program compliance in accordance to policies & procedures set forth by RAMS, SF Department of Public Health, and other oversight entities (CARF, OSHA, etc) and assist with maintaining sites' upkeep to the standards required by RAMS and funding stakeholders, and assisting in further developing safety training, and operations manuals/materials.
  • Contribute to programmatic strategic planning & development and risk management processes.
  • Assist in establishing and monitoring implementation of program policies & procedures ensuring compliance to ethical, professional, and legal standards and regulations.
  • Contribute to the development of and monitoring implementation of quality standards for program
  • Perform other duties as assigned.

Required Qualifications:
  • Associate's degree from an accredited institution
  • Two or more years of experience in administrative, operations, or similar activities
  • CA Driver's License

Other Preferred Qualifications:
  • Bachelor's degree from an accredited institution preferred
  • Strong computer skills and knowledge/experience working with various computer programs including MS Office Suite (e.g. Word, Excel, Outlook, PowerPoint) and Google Suite
  • Exceptional organizational skills with reliability and consistency in work performance, strong problem solving abilities and resourcefulness, as well as ability to multi-task with the capability to learn quickly and integrate efficiently
  • Strong interpersonal and communication skills, both verbally and in writing, and ability to work effectively, function independently, and interact professionally with a diverse, multicultural, and interdisciplinary staff of all levels
  • Ability to present feedback in a positive and empowering manner
  • Ability to maintain confidentiality within and outside the agency regarding all data and information exposed to through working in this position
  • Familiarity with behavioral/mental health and counseling strategies, including the philosophy of care, levels of care for clinical services, and the delivery of such services, preferred
  • Familiarity with the San Francisco community resources/services (may include health, behavioral/mental health, substance abuse, vocational, housing, etc.), preferred
  • Strong commitment to the philosophy, goals, & mission of RAMS, including providing culturally competent mental/behavioral healthcare services in a community setting
  • Commitment to engaging in professional development activities such as trainings, continuing education seminars, case conferences, and reviewing up-to-date material, etc.
  • Bilingual ability in Spanish, Cantonese or Mandarin, preferred

The Hire-Ability program components include: Employee Development, Employment Services, Vocational IT Computer Skills Training, Janitorial Training, Employment, & Services, and Clerical/Administrative Support Training, Employment, & Services. Hire-Ability also features Café Phoenix, a reputable and well-reviewed client-run café that also serves as one of the on-the-job vocational assessment sites. The Vocational IT Program provides time-limited paid part-time work experience and on-the-job training to program participants learning about end-user/customer support, desktop & hardware repair & maintenance, and software support.
