JOB TITLE: Fleet Support Specialist LOCATION: Foster City, CA PAY RANGE: $31 - $41/hr. DURATION: 12 months

JOB OVERVIEW: The Fleet Support Specialist for BaseOps plays a critical role in ensuring the operational efficiency and health of the vehicle fleet. This position focuses on scheduling, fleet health monitoring, documentation, and dashboard updates. The specialist collaborates with cross-functional teams to streamline hardware and software handoffs from development to operations, supporting Fleet PMs in meeting high-level targets and ensuring smooth fleet operations. Travel to various locations may be required. The role also includes working in the repair shop alongside technicians, engineers, and other team members to maintain constant situational awareness of fleet status.
This role is integral to ensuring the success of the company s fleet operations. The Fleet Support Specialist will work closely with various teams to streamline processes, ensure high-quality repairs, and maintain optimal fleet health.
RESPONSIBILITIES
Repair Scheduling: Collaborate with the scheduling team to secure repair slots and optimize vehicle repair time.
Fleet Monitoring: Review open vehicle issues and generate action plans, ensuring constant monitoring and updates on fleet health.
Data Management: Maintain accurate historical data and record-keeping for vehicle health and repairs.
Technical Documentation: Assist in the creation and development of technical documentation and processes.
Reporting: Support the creation of daily, weekly, monthly, and quarterly reporting on fleet performance and maintenance.
Repair Feedback: Close the loop on repair feedback to drive improvements in product design and operations.
Quality Inspections: Perform quality inspections of repair orders to ensure compliance with company standards.
Parts Management: Support in ordering parts, ensuring parts availability for scheduled and unscheduled repairs.
Cross-functional Collaboration: Interface with multiple teams to align processes and operations for smooth workflow.
Shop Safety Inspections: Conduct monthly shop safety inspections at the 3400 location, submitting results via Google form to the EHS team.
PARTS AND MAINTENANCE TASKS:
Parts Requests: Handle VH6 help requests and in-shop parts requests. Create SAP Manufacturing Orders (MO) for parts, manage parts requests in #bo_open_tickets (location-specific Slack channel), and support bulk order creation. Create SERVO Work Orders (WO) and link them to BaseOps Jira tickets. Manage parts requests via LOGX, and track parts installations and dismantling in the Bill of Materials (BOM). Submit parts requests via AHMO Service Help Desk.
Servo Part Replacements: Perform servo part replacements and ensure the creation of a Vehicle Quality (VQ) ticket for the removed part, ensuring traceability through milk run tickets.
Maintenance Tracking: Utilize VH6B2, VH6B3A, & VH6B3B Maintenance to log maintenance results and create queries for new items to be addressed at the next interval. Create BaseOps Jira tickets to reflect upcoming maintenance and collaborate with MR on scheduling weekend services.
VEHICLE CALIBRATIONS & TVR2 MANAGEMENT:
Vehicle Calibration Requests: Notify relevant teams (FleetOps, MR, etc.) when a vehicle requires calibration and follow up on calibration merging through #cal-process-support channels.
TVR2 Tickets: Create TVR2 VH6-ops tickets and collaborate with teams at different locations to complete TVR2 processes.
Vehicle Move Requests: Submit vehicle move requests and notify MR in public channels of planned B2 service work.
QUALIFICATIONS:
Experience: 1-2 years of experience in a fast-paced service or automotive environment.
Education: Bachelor s Degree or equivalent experience preferred.
Willingness to Travel: Up to 50% travel may be required.
Automotive Knowledge: Familiarity with automotive repair processes and fundamentals.
Teamwork: Strong collaborative mindset and ability to work in a cross-functional team.
Pass a background check and drug screen.
Must comply with the Substance Abuse Policy.
Must have a valid driver's license with a clean/excellent driving record.
PREFERRED QUALIFICATIONS
Technical Tools: Proficiency in Jira, Confluence, and familiarity with MS Office/Google Suites.
Automotive Service: Prior experience in an automotive service environment is a plus.
Multi-tasking: Strong organizational skills and ability to manage multiple projects.
Communication: Ability to rapidly communicate and respond using various modes of communication (email, Slack, etc.).
