The Opportunity We are hiring a dedicated Front Desk Administrator / Patient Coordinator to serve as the critical first point of contact for our patients and therapists. This role requires exceptional organizational skills, unwavering attention to detail, and a high degree of discretion, especially during our busy afternoon and weekend hours. Your ability to manage complex scheduling and patient intake will be vital to our smooth operation. Required Qualifications
- Minimum of 2 years of administrative experience in a medical, dental, or behavioral health setting is highly preferred.
- Proven experience managing complex schedules and multi-line phone systems.
- Exceptional attention to detail and organizational skills.
- Proficiency with Microsoft Office Suite (Word, Excel) and experience using an Electronic Health Record (EHR) system.
- Demonstrated ability to handle confidential and sensitive information with the highest level of discretion (HIPAA compliance).
- Must be highly reliable and punctual to cover the specific afternoon and Saturday schedule.
Preferred Skills
- Familiarity with insurance verification (e.g., eligibility, co-pays, deductibles).
- Experience working in a fast-paced psychology or mental health clinic.
- bilingual (Spanish) skills are a strong asset.

Responsibilities
Key Responsibilities Patient Coordination & Scheduling - Manage all patient scheduling, including booking new appointments, rescheduling existing clients, and confirming daily attendance for multiple therapists.
- Serve as the primary point of contact for new patient inquiries via phone and email, managing the intake process and matching clients with appropriate clinicians.
- Maintain accurate patient records and manage confidential information in the Electronic Health Record (EHR) system.
- Coordinate follow-up appointments, ensure appropriate forms are completed, and manage waitlists efficiently.
Front Office Administration & Compliance - Warmly greet all patients and visitors, ensuring a comfortable and confidential check-in/check-out experience.
- Process and verify patient insurance information, collect co-pays and deductibles, and manage daily payment reconciliation.
- Ensure the waiting area and front office remain tidy, confidential, and professional.
- Handle general administrative tasks, including managing office supplies, mail, and liaising with building management for maintenance issues.
- Maintain strict adherence to all HIPAA regulations regarding patient privacy and data security.
