Responsibilities

  • Prepares, edits, and proofreads a variety of documents (correspondence, agreements, pleadings).
  • Manages and assists complex document production, including Bates stamping.
  • Drafts simple pleadings and correspondence.
  • Prepares court filings (copies for filing, service copies, attorney service order slips).
  • Files documents with various courts (traditional and e‑filings).
  • Prepares documents for mandatory e‑filing for state and federal courts (creates PDF, converts PDF to searchable doc, bookmarks exhibits).
  • Creates tables of contents and authorities using Word tables.
  • E‑filing in federal courts and Court of Appeals.
  • Prepares/finalizes discovery (propounded and/or responses).
  • Prepares shell responses to propounded discovery.
  • Communicates with court staff regarding various issues.
  • Handles outgoing and incoming mail/FedEx for assigned attorneys.
  • Maintains calendars, schedules meetings, depositions, conference calls, sends invites, tracks deadlines.
  • Prepares trial memoranda and schedules all appearances/deadlines.
  • Schedules local and out‑of‑town depositions, conference rooms, court reporter/videographer.
  • Coordinates mediation dates.
  • Scans and uploads documents to Neos.
  • Assists with trial preparation: creates trial notebooks, coordinates trial copy jobs, delivery and pickup of notebooks.
  • Creates master files for new cases.
  • Answers telephones, takes detailed messages, and follows up with clients, counsel, and others as requested.
  • Other duties as needed to support firm and office operations.

Qualifications

  • Previous law firm experience (4+ years).
  • Must have ABA, NALA, or AACP certifications.
  • Litigation experience (3+ years).
  • Knowledge of legal terminology and principles.
  • Ability to analyze legal documents and ensure accuracy.
