Position Overview

CG Events is seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to the business and its principals. This role is crucial for ensuring the smooth daily operation of the company, facilitating key administrative functions, and supporting the staffing and vendor aspects of our events. The ideal candidate is adaptable, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities

  • Help us stay on-track and drive our business operating functions forward
  • Track business billing processes and invoicing, and reconcile company finances in QuickBooks
  • Process and track expenses, bills, and contractor payments
  • Assist in budgeting and financial planning for projects
  • Track business licenses, insurance policies, and renewals
  • Create contract paperwork and manage communications with contractors and staff as assigned
  • Draft and track Statements of Work (SOWs) and contracts for contractors; track and confirm W9s for contractors, programming, and others
  • Support vendor procurement and ordering supplies for events
  • Support principals in scheduling, booking travel, managing expenses, and other duties as assigned
  • Manage company-wide calendar and schedule internal/external meetings
  • Prepare meeting agendas and take detailed notes as needed
  • Help keep our Google Drive system tidy, organized, and easy to navigate

Qualifications

  • 2–5 years experience in business operations, admin, or finance
  • Proficiency in QuickBooks, Google Workspace, and Asana
  • Excellent attention to detail and ability to follow through on tasks
  • Strong communication skills and a proactive, solutions-oriented mindset
  • Experience working in a small business, event production, or creative industry a plus

Compensation

Compensation is commensurate with experience. Position is full-time hourly at 40 hours per week, with occasional overtime.
