Description:

We are hiring a part time Administrative Assistant/Data Entry individual who can work 20 hours a week and provides essential data-management and administrative support to the Aquatic Park Senior Center. This position is responsible for accurately entering, verifying, and maintaining participant, program, and service data within the Department of Disability and Aging Services (DAS) GetCare system, My Senior Center (MSC), and internal databases.

The ideal candidate is detail-oriented, organized, and committed to supporting high-quality service delivery for older adults. The Administrative Assistant helps ensure data integrity, supports contract compliance, and contributes to the smooth operation of programming across the center.

What You Will Do:

  • Review and enter participant information and program/service data into GetCare, MSC, and internal systems in a timely and accurate manner.
  • Generate basic reports for internal review and for monthly/quarterly DAS reporting deadlines.
  • File, organize, and maintain DAS participant records (digital and paper).
  • Maintain compliance with all DAS data standards and Sequoia Living documentation requirements.
  • Maintain strict confidentiality and follow all data security protocols.
  • Support the Director and Program Supervisor with data tracking, special projects, and documentation needed for audits or contract reporting.
  • Participate in DAS data-system training and internal staff meetings to review data trends, reporting needs, and program updates.
  • Collaborate with Downtown Senior Center staff to align data-entry practices and ensure consistency across sites.
  • Provide occasional data-entry support at the Downtown Senior Center as needed.
  • Perform other related duties as assigned.

Who You Are:

  • Data analysis and sound judgment skills. Knowledge of Microsoft Office suite (Word, Excel, Outlook, and PowerPoint); ability to quickly learn database system applications. Excellent written and verbal communication skills. Knowledge of office products and use of office equipment. Excellent interpersonal skills and organizational skills to plan own workload and priorities. Strong problem‑solving skills, works effectively under pressure, and manages deadlines successfully while maintaining confidentiality of participant, staff, volunteer, and organizational information.
  • Minimum of two years of data entry or administrative experience; experience in a social services or nonprofit setting preferred. Knowledge of Microsoft Excel, Word, and Outlook. Excellent attention to detail, accuracy, and follow‑through. Ability to organize workload, manage multiple priorities, and meet deadlines.
