Talent Development Program Coordinator (8912 - HR) – Hybrid Remote – EAH Housing, San Rafael, CA

Position Overview
Under general supervision, the Coordinator performs a key role in supporting the Talent Development function, coordinating and executing training logistics, administering the Learning Management System (LMS), and ensuring a smooth and professional experience for learners across the organization. This position requires strong organizational skills, attention to detail, and the ability to build collaborative relationships with staff, vendors, and partners.
Responsibilities
- Coordinate logistics of employee onboarding, onboarding (NHO), on‑site and virtual training, employee engagement, wellness, and performance management sessions, including room scheduling, event setup and cleanup, ordering food and materials, and preparing sign‑in sheets and name tags.
- Ensure all training sessions and events run smoothly by supporting instructors and participants before, during, and after each session.
- Maintain inventories of materials and order supplies as needed.
- Assist with performance management and succession planning processes, ensuring timely completion of annual and mid‑year performance reviews.
- Accurately capture performance and succession data in the systems.
- Maintain accurate records in the LMS, including course enrollment, completion data, and training paths.
- Register employees for learning events, enroll them in courses, and assign learning tracks based on role and/or development needs.
- Monitor LMS functionality and support user questions or issues related to system navigation.
- Support onboarding process for new hires by enrolling them in required courses, tracking completion, and managing surveys.
- Collaborate with HR and departments to ensure onboarding materials and timelines are current.
- Assist with rollout and reporting of employee satisfaction and pulse surveys.
- Create regular opportunities for social connections through employee group activities and events designed at increasing employee engagement and satisfaction at Corporate and satellite offices.
- Manage internal marketing of learning programs to increase participation and visibility.
- Draft and distribute communications promoting upcoming learning events.
- Maintain training calendars and support creation of training materials and job aids.
- Track participation in mandatory and elective training programs, including continuing education and certifications.
- Generate and distribute monthly and ad‑hoc reports on training completion, attendance, and evaluations.
- Ensure training documentation meets compliance requirements and industry standards.
- Coordinate with external vendors to ensure seamless delivery of sessions (both in‑person and virtual).
- Support technical production of webinars or distance learning events using various online platforms.
- Provide basic troubleshooting and support for instructors and participants during virtual sessions.
- Respond to Talent Development–related inquiries via phone, email, and UKG People Assist with professionalism and accuracy.
- Assist with special projects and department‑wide initiatives as needed, including regional summer events.
- Support a culture of continuous learning and professional growth across the organization.
- Actively participate in safety program.
- Maintain regular and predictable attendance.
Qualifications
Bachelor's degree or equivalent combination of education and experience.
Minimum of 2 years of experience in training, HR, or L&D role.
Desirable Qualifications
- Bachelor's degree in Human Resources Management or related field.
- Experience with UKG/UltiPro system.
- Experience with SuccessFactors system.
- Experience with Yardi Aspire system.
Salary
Hourly: $28.00 – $45.00 per hour (currently $28.00 – $36.50 per hour based on experience). Salary will be commensurate with experience and current salary levels of similar roles.
