We are seeking a detail-oriented and experienced Payroll Specialist to join our finance team. The ideal candidate will be responsible for managing payroll processes accurately and efficiently, ensuring compliance with company policies and relevant regulations. This role requires proficiency in various payroll and accounting software, strong analytical skills, and a solid understanding of financial concepts. The Payroll Specialist will play a key role in maintaining accurate employee compensation records, benefits administration, and supporting overall financial operations within our organization.

Responsibilities:

  • Process Certified payroll using systems such as DIR (Prevailing Wage), LPC (Labor Compliance Program), Sage Accounting, ADP, Paychex, UltiPro, Kronos, Ceridian, or other HRIS platforms
  • Ensure accurate data entry for employee hours, wages, deductions, and benefits
  • Reconcile payroll accounts and prepare journal entries for payroll transactions
  • Maintain compliance with tax regulations and assist with tax filings related to payroll
  • Administer employee benefits programs including health insurance, retirement plans, and other perks
  • Manage accounts payable and receivable related to payroll expenses
  • Support general ledger accounting activities including account reconciliation and analysis
  • Assist with governmental reporting requirements and audits as needed
  • Collaborate with HR and finance teams on payroll-related inquiries and updates
  • Maintain confidentiality of sensitive employee information
  • Requirements:

    • Proven experience with payroll management software such as Workday, ADP, Paychex, Kronos, UltiPro, Ceridian, or similar platforms
    • Strong knowledge of accounting principles including double entry bookkeeping, debits & credits, journal entries, and general ledger reconciliation
    • Familiarity with financial software like QuickBooks or other accounting tools
    • Understanding of benefits administration and HRIS systems
    • Experience in corporate or non-profit accounting environments is preferred
    • Excellent data entry skills including 10 key typing proficiency
    • Knowledge of tax regulations related to payroll processing and reporting
    • Analytical skills with the ability to perform account reconciliation and financial analysis
    • Ability to work independently with strong attention to detail and accuracy
    • Bachelor's degree in Accounting, Finance, or related field is preferred but not required
